DrupalCamp Australia 2008
When: Saturday, Oct. 18th : 9am - 5pm
Where: Sydney University

Announcing the 2008 DrupalCamp Australia! It will be taking place on Saturday, October 18th from 9am - 5pm at the University of Sydney's School of Pharmacy.

We are currently looking for some good presenters and topics for discussion. Some of your favorite, dedicated, Australian Drupal developers will be joining us so don't miss out! Places are limited (Only 45), so sign up now!

Read on for all the details

Full Details

What
What is a DrupalCamp? For those of you new to Drupal or community events - Inspired by the BarCamp events, DrupalCamp is a small (to medium sized) gathering of like minded people to discuss and learn about Drupal, share ideas, get involved in the community, connect and network with people - the people you see so often online.

DrupalCamp Australia is a FREE event put on by the people, for the people and with the help of some friendly sponsors.
We will have a hybrid of formality - several presentations will be organized before hand and the rest will be filled in and figured out on the day. Which means we need your involvement! If you would like to make a presentation or have a topic for discussion, please post it as a comment to sessions list. We will take these presentations first when we are making the schedule on the day.

How Much $$?
Its $0 - FREE! Yes, in case you misread that, this event only costs your time and attention. We are accepting donations though. We are only able to provide this through the generous support of our sponsors. Even though it is free, we have limited resources and can only accommodate 45 people. So sign up quick!

When
We will have a full day of fun on Saturday, October 16th, 2008. We will open up for registration/greetings at 9:00am and actually get things kicked off at around 9:30ish and likely finish around 5pm. We will probably move to a nearby pub to continue the socializing and for dinner/drinks.

Where
We have secured a computer room(s) at the University of Sydney.

More coverage of regional conferences on drupal.org

I think it is crazy that the regional events don't get more coverage over at the drupal.org main site. DrupalCampLA just had a 400+ person event, but if you put DrupalCampLA into the d.o search box, all you get is a forum post from last year where one of the badcamp organizers mentions them as inspiration. We (badcamp) will probably have around 300 people show up and I am sure DCNYC was huge. g.d.o placement is nice, but d.o is missing out on a big marketing opportunity by not bragging about these events more.

Onsite video handling for events

I was talking with Amazon on IRC about video handling, and he suggested I post this here as it might be useful to event organizers.

At DrupalCamp Seattle we spent a lot of time talking about how to handle the video from the sessions, and one of the conclusions we came to was that it needed to be handled ASAP because the longer it waits the more people move onto other things. Initially we were going to have a "video sprint" right after the camp to handle the capturing/transcoding/uploading. Instead, one of our local users Gary Varnell (http://groups.drupal.org/user/6388) came up with a way to capture/transcode on the fly to his Linux laptop over firewire. He wrote a blog post detailing his setup including the perl scripts he wrote to handle it:

http://regx.dgswa.com/html/node/65

This was a great success. Our videos were all up but the time the weekend was over (some before the camp was over!), and they looked great. Capturing straight to disk over firewire had other advantages as well, like you weren't limited to the length of a tape.

The videos can be seen here:

http://seadug.blip.tv/posts?view=archive&nsfw=dc

and the full discussion can be seen here, there's some info about how ffmpeg was compiled which could be useful

http://groups.drupal.org/node/11677

I know there are some camps coming up, so hopefully this info will come in handy!

Drupalers Meet Up at Machu Pichu (Perú)

I would like to have a Drupal event at Perú and did not found more representative place than Machu Picchu, Inca people were genius who constructed a sanctuary upon a rock solid mountain in the meddle of high jungle. It is also a wonderful place for vacations and opportunity to meet people outside U.S. and Europe. Also, Perú was recently qualified with "investment grade", making our country an attractive choice for investment and businesses.
Actually, I'm organizing a local event in September to "prepare the way" for this bigger one, tentative dates are between 15 and 30 October. Perhaps German people can join us after the October fest :)

Will appreciate your comments, suggestions, criticism, etc.

Blessings!

Drupal color swatches for Adobe Creative Suite software

If you find yourself needing the official Drupal logo colors for your favorite Adobe design software then download free color swatch sets. Color swatches for Adobe Fireworks/Dreamweaver, Photoshop, Illustrator, Flash, and even InDesign are available for download for free.

Download the Drupal color swatch sets for Adobe software at XTND.US.

Fireworks (and Dreamweaver)

Photoshop (and InDesign)

Illustrator

Flash

Download either the ZIP file that has all the color swatches for all Adobe design products, or download the swatch file for your application. Note: InDesign users should download the two Photoshop swatch files, but we think you may only use the ASE file.

Ubercamp 1.0

Announcing the most fun you haven't had yet this summer! The event is still in the planning stages, but we're keen on setting up an Ubercamp for the weekend of July 25-27. We know it's short notice - only 2.2 weeks away - but we're going to do our best to make it happen, make it fun, and make it fruitful.

The tentative schedule includes a pre-camp hackathon at the Ubercart office in Louisville, KY during the day on Friday. In the evening, depending on crowd size and wireless availability at the lake, we'd head down to Lake Cumberland and spend a weekend sharing, learning, discussing, and hacking on Ubercart. The best plans include staying on a houseboat and enjoying some water sports in between presentations, meals, and code sprints, but as a fallback we can always stay in Louisville and use our facilities. There's plenty to do in town if need be.

The goals of this Ubercamp would be to set the stage for future meetings (you've gotta start somewhere!), pass some knowledge around, and lay plans for the future of Ubercart. Ideally, we'll be doing some final work on the D6 port by then, so there should be plenty of testing and patching to go around.

I'll be driving down from Michigan, if anyone wants to ride along pm me.

Drupal Camp Colorado Open to Remote Presenters

Because Drupal Camp Colorado is being held in the Micro Business Development Center that is home to Deproductions/Denver Open Media, we have access to equipment and bandwidth that wouldn't be available at many other Drupal Camp locations. This allows us to offer a remote presenter track at Drupal Camp Colorado.

Cross posted from http://groups.drupal.org/node/12839

I've offered to provide the technical support for this track that can connect with our Drupal Camp audience using a mix of technologies. The ideal configuration will utilize 2 machines on the presenters end. One box to run VNC (or another screen sharing solution). Another box to run a mulit-user capable version of iChat or Skype. We will provide both a fixed, wide shot of the audience as well as roaming, close-ups of people asking questions. The audio from the room will be mixed from multiple mics so we won't be reenacting scenes from Forgetting Sarah Marshall.

The Deproduciton/Denver Open Media facilities will support a very natural experience for both presenter and the audience. The goal is to make it feel like we've knocked a wall of the DOM studio and connected it to the room the presenters is in.

If you'd like to present remotely, submit a session proposal. There will eventually be options specifically for remote presenters, but for now simply indicate that you will be presenting remotely in the Overview area along with the best time to schedule your session in Mountain Standard Time.

Round table discussions with multiple remote users and local/remote co-presenters are also options to consider.

If you have any questions, feel free to email me at kevin@civicpixel.com.

DrupalCampLA 2008 Planning

Oh yes, it's that time..

The first one was a blast so we're doing it again. BUT we'd love your input so that we can avoid conflicts for DrupalCampLA Weekend.
Please see the wiki at http://groups.drupal.org/node/12528 and make your comments to the dates listed.

We are not open to doing this sooner - simply too many vacations, conferences, and various conflicts to make people happy. We want to enjoy summer too! Late September is left out because I'm becoming an aunt somewhere around there. Selfish? yeah. But it's about balance, right?

We're choosing a date by Friday, June 20th, so get those notes in there today/tomorrow please. We'll announce at the June LA Drupal meeting.

Cheers!
Crystal

Two Weeks to Go! Drupal Camp Alberta 2008 Updates

In just two weeks, Drupal designers and developers from Alberta, BC, PEI & Montana will gather at the University of Lethbridge for Drupal Camp Alberta 2008.

In the past week - we secured our speakers & sponsors, opened registration and are expecting approx 100 attendees - many of who are holding out on registration right now :-)

If you haven't registered already, please take the time to sign up - your commitment of $30 gets you in for two days, provides you a beer, some food, and a shirt - pretty good deal, and accessible to students, and those without luxury expense accounts.

Much has happened over the past week that I'd like to share:

We dropped the sponsor rates, due to the generosity of the University of Lethbridge - they are providing top - rate facilities that dropped our facility budget a ton. We will be holding our workshops at the University's Health & Wellness Facilities in a beautiful lecture theatre and three breakout rooms.

The stand up guys at Drupal Camp Vancouver committed some surplus cash they hand on hand from their camp. What a bunch of solid guys - this helps the short term cashflow a ton!

We've decided on a t-shirt design. Breaking from tradition, we designed a shirt that follows fashion trends a little closer than Drupal trends, but we think we'll be OK (Drupal Camp, Boot Camp, Military Crest - you get the connection.

Accomodation at the University Student housing is still just $40 / person. They run it like a hotel (with towel service, etc.) in the summer months.

Speakers showed up! We've got a great lineup ranging from a 300 Drupal Multi-Site Installation Case Study, to the Services Module - by the Module maintainer himself! We've got a talk for everybody - Designers and Business types should get equal benefit from Jess McMullin's testing & taxonomy talk - as well as my theming how-to. Newbies will get a foothold on Drupal vs. Joomla! vs. CakePHP from Daniel @ image X, and developers will dive into google maps & new module overviews equally well.

We've got a code sprint recipient! Amanda Stepenko (Olympic Bobseld Hopeful) is looking for a site to raise sponsor awareness. I will create the photoshop mockup for my Zen subtheming talk, and together at the conference the codesprint participants will bring the site to life!

Birds of a Feather sessions, Networking night, Track, Gym, Hiking, Art Gallery & More at the venue.

Register today, and you'll be guaranteed a shirt (first 50 attendees!), our second run might not arrive on time.

SEE YOU THERE, Please blog, twitter, email, nudge - anything you can to do help evangelize http://www.drupalcampalberta.org!

M.

Ideas/feedback for the next DrupalCampPDX

At the monthly meeting we had a quick discussion of what went right and wrong at DrupalCampPDX 2008. Grant suggested putting up a wiki so that people could provide suggestions and feedback. Well here's the wiki so have at it.

Things we could have done better

We needed to be much more careful with our dates. Not so close to Seattle BarCamp and not on the same day as Vancouver's. We are a community and should be considerate of our region. Also, we lost attendees and program participants.

You could add the next point.

Next time should be bigger and better.

More lead time - don't start planning it two months before it starts. This is better for volunteers, but also gives attendees and program participants more time to plan to be there.

More advanced program items, actually trying to put speakers on panels mosts wants to hear about.

You could add the next point.

Program Items I'd Like to See Next Time

Workshop on how to create a custom module. Heck this could even be it's own track were we spend the day building a module and then post the source.

You could add the next point.

Other Thoughts and Ideas.

Themed DrupalCamps, eg Drupal101Camp, DrupalNonProfitCamp, DrupalModuleBuilderCamp.

You could add the next point.

Independence Weekend Town Hall Gathering

A three day celebration of hope and peace at the Tarvid homestead, 61 Caprine Lane, Independence, VA 24348. starting at 6:00 PM July 3rd through 6:00 PM July 6th. Google maps are close. Look for the welcome sign.
There will be three threads - Drupal websites, Ubuntu installations and Community building. Drupal is a "content management system" which when configured provides for a high degree of end user content creation. Ubuntu is a "free" computer operating system (think not Microsoft). Community is what we make of it.

We will sit, walk, sing, pray, talk, work, play together. All faith backgrounds welcome, but you should prepared to encounter Buddhists, Sufis, Muslims, Hindus and Christians sometimes all wrapped up in the same person.

Accomodations range from modest to primitive. You should bring your own bedding and food; computer if you want to try Ubuntu; WiFi available. Musical instruments if you like to make joyful sounds. Books you find inspiring and want to share.

Refrigeration is limited. There is a full service grocery store five miles away. There is one full kitchen, a limited kitchen, barbeque grills and a pit. There are two bathrooms and lots of trees.

People with special needs are welcome but we must know what assistance you will need in advance.

No illegal substances, no loud or boisterous behavior, no gloom or doom. Children and pets must be charming

To sign up you must have an http://LS.Net website account. If you do not have an account, there is a Create Account link on the left.

Once logged in, click My Account in your personal Menu and complete the "Profile". This will permit us to escalate your privileges.

If you want your own website you must complete a website registration by clicking "Create Content" and selecting "Website registration".
Send questions using the Contact link.

Drupal Camp Alberta 2008

DCA08 is unlike any corporate conference you've ever attended - and for good reason. Focusing on "Drupal" - an open source content management system and application framework, DCA08 is a low-cost, highly collaborative "unconference" held in at the University of Lethbridge, in Southern Alberta, Canada.

Gone are the days of sponsored vendor presentations and for-profit registration fees. Our peer taught, volunteer-run sessions will by heavy with "doers", and light on the "talkers".

Join us July 3 & 4 from 8am - 5pm both days (Networking event on July 3rd)

Official Website: http://www.drupalcampalberta.org

REGISTRATION WILL HAPPEN ON THE OFFICIAL SITE (Don't signup here) Thanks!

Registration is now open at http://www.drupalcampalberta.org/event/drupal-camp-alberta-2008

Drupalcamp Barcelona

Following our success in organizing the past Drupalcon Barcelona 2007, the Catalan User Group is ready to start organizing local events at the Citilab, where we held the Drupalcon. We have created the Drupal.cat association to help the catalan drupal community grow, and our first action will be the organization of a monthly drupalcamp at the Citilab, on each second Saturday of every month.

Our first drupalcamp in Barcelona, then, will be held at the Citilab on the 14th of June and everyone is wellcome. Leave your session proposals on our session list page.

Upcoming Wordpress camps we can learn from and participate in

For many people Wordpress is the first open source web application they will use. It's a great introduction to open source. In past surveys, we've seen as many as 25% (don't quote me) of Drupal users indicate that they used Wordpress before using Drupal. Many people use both.

Wordpress shares the same technology stack and many of the same open source community development principles. Here are some upcoming Wordpress Camps that you might want to attend and learn from:
http://wordpress.org/development/2008/04/upcoming-wordcamps/

Cheers,
Blogging your way to Drupal event success

I've been pretty cynical in the past about blogs. I am now a convert.

For Drupalcon we identified over 70 blog posts that helped drive awareness and ultimately successful fund raising and successful attendance. For the recent Drupal testing sprint in Paris, France we used the same technique.

What worked for the testing sprint was trying to justify the expense and working on the anticipated outcomes of the sprint. We used blogging to raise awareness and attract sponsors ultimately raising funding for 8 people to attend Paris.

While blogging was originally a fund raising effort it's clear it helped improve the quality of the sprint itself, because so many of the issues and topics were being worked out in researching the blog posts and reading each other sprinters blog posts.

We started here with the announcement here: http://groups.drupal.org/node/9516 and funding plan here http://groups.drupal.org/node/10382

Then started blogging here: http://acquia.com/blog/kieran/how-test-20-000-drupal-7-core-patches

Then I worked with each individual attending the sprint to document their particular contribution in advance:
http://www.kevinbridges.org/dcov

And finally requested they blog during the sprint so there was a solid record to report back to funders:
http://buytaert.net/a-test-framework-in-drupal-7

There was a lot of planning and strategy that went into making the sprint successful. Blogging was the most visible aspect of that strategy and it was once again successful.

Nonprofit Status and Insurance

The Seattle Drupal Users Group is organizing a DrupalCamp for this summer. I'm in contact with a local university where we would like to host the event. The university is requesting that we exist as an actual nonprofit entity and that we have liability insurance. Has anyone else come across these issues before? Can the Drupal Association help here? I have contact the Drupal Association, and I'm awaiting their response, but I thought I might post here as well. Any thoughts or hints would be greatly appreciated? Is it time for our DUG to become a nonprofit?

You can learn more about our camp at http://groups.drupal.org/drupalcamp-seattle

Drupal Camp Organizing Guide

Building on the work that Nedjo did for organizing a Design sprint (Thanks Nedjo!) I'll like to get some help with refining and creating a guide for managing and hosting a Drupal Camp. Eventually I'll like to create a book page on d.o with a meetup guide, camp guide and sprint guide.

This is a work in progress, take a few minutes to pitch in!

What is it?

The term camp derives from Barcamp. Barcamps are "unconferences" that are created to be the direct opposite of a formal conference (i.e. OSCon, DrupalCon, LinuxCon, etc.). Unconferences (Barcamps, Drupalcamps, etc.) are defined by the people and are for the people. The biggest difference is that unconferences do not have a set schedule until the day of the camp. Many people will provide topics before the camps but those topics and exactly who will present them are not decided until the day of the camp usually occurring during the initial "Welcome to our camps, how is everyone doing session". The purpose of a Barcamp/Drupalcamp is to get the local community to connect, and share knowledge and ideas with each other.

In segments of the Drupal community this "camp" format isn't strictly adhered to. These Drupalcamp organizers follow a more classical organization process with a call for speakers, predetermined schedule and nominal admission fee. Using the term Drupalcamp is a useful way of designating the event as a local event, not a regional or international conference.

How are the sessions/topics selected?

Each camp is handled differently. Some camps have setup website with a forum that people utilize before the camp to suggest potential sessions that they would like to attend or would like to lead. In this way the community chooses the sessions before the camp begins.

A more traditional approach is to handle this on the day of .

On one wall a masking tape grid is created with times on the side and rooms on the top. Every person in the room will receive a 4x6 (or similar) card and will be asked to write up a suggestion of what they would like to learn (ex. Views, Module development, DB Scalability, Administration, etc.) and/or what they can present on. The participants are then asked to place these items on the wall in a timeslot. Obviously there will be more cards than timeslots but over and over again an organic process is set into motion. People beging to communicate with each other and they discover that they have similar interests or a could skill swap. Eventually through a wholely organic process duplicate sessions get combined and presenters decide to team up in presenting the topic. This process usually takes about 1 hour for 75-200 people.

What do you need to do before running a camp?

IMHO camps are a natural extension of a meetup. I don't believe that its possible to hold a really effective camps without first holding successful meetups.

Additionally you will need a website of some form. Groups.drupal.org has recently added new features that allow for a basic camp to be organized directly within the group.

Other camps have used barcamp.org as a simple wiki to organize the camp as well as the sessions, participants, etc.

While others have setup an entire website just to organize the site.

How you organize your camp is up to you but never let a website being your technology barrier and do everything to keep things simple.

How long are they

Camps are generally a one to two day event.

Location

-A library on a University campus, a section of a University, a company's office, a conference center, etc.
Successful camps have had a single main room that can hold all of the expected attendees and then several smaller rooms that are used for breakout sessions. A Camp will have multiple topics being discussed at the same time so its important to have several rooms.
Although metrics are hard to give an approximate one would be
Expected attendees/25 = # of rooms.
If you expect 100 people have 4 rooms. 200 people 8 rooms. Unfortunately this is a horrible metric but the magic number for most camps with 75-200 people has been 4 rooms

Sessions

Generally picked the day of but may be picked before.
A good organizer is always finding people in the community to be ready to present. This may involve creating some presentation material and they may not present (if the community doesn't ask for their topic then there is no need) but a few people are always found.

Time

Depends on your location and community.
NYC: 10-5pm Camp, 5pm -> ?? drinking at a bar.

Food

Food can be key to a successful camp. Having food at the camp helps to keep people together and the conversations following as the participants will not have to go out in the local area, find a restaurant, wait to be seated, etc. There is a lot of meeting, networking and great conversation that occur when people are sitting down relaxed and eating.

Lunches are usually an hour but if people have to go out and find a restaurant, wait for the food, etc. it may be around 2 hours total.

Expenses

How do you handle expenses (food, venue, materials, etc.) ?
A lot of camps have been free events put on by the community meaning that the participants do not pay to attend the camps.

The largest expense at most camps is the venue. Look for a donated venue from a University, a local drupal shop, library, company, etc.

You will be hard pressed to find a food vendor that will provide free food. Although it shouldn't prevent you from asking. Ask the local restaurant, pizzeria, etc. if they will sponsor your camp. You'd be surprised and who will sponsor. Pepsi has often sponsored Barcamps by sending in cases of Redbull and/or Mountain Dew. In NYC we have a local Tea company provide free energy teas just because we asked if they'd be willing to sponsor.

Sponsorship

It is very important to have your workflow for approaching an accepting sponsorships worked out BEFORE your start soliciting sponsorships. You are asking people to sponsor your event. Make it EASY for your sponsors.

Have a single point of contact.

Have one person be the point of contact for sponsors so they only have to remember one person.

Include the name of your camp in the subject of EVERY email

Clearly state all deadlines in your emails

Ask for everything you need from your sponsors up front

Logo

Name / URL

Description

Name of attendees

Handing the cash

The easiest way to handle cash is to not handle cash.

Have the sponsors pay the merchants directly.

If you are paying for food have a sponsor pay the vendor directly.

If you need to pay for a venue have a sponsor pay the venue directly.

Essentially do your best to not handle money and to keep the expenses low.

Paypal... Setup a separate paypal account just for the camp and use it for the camp's bank funds. Paypal makes things really easy as you won't need to be a company, etc. etc. It is however expensive. Very little can be done to avoid the charges.

Use a local company as an accounting sponsor. A single company can take charge of taking in all of the cash and distributing it as necessary. This can help to keep Credit Card charges down but gets messy when the amount of cash goes up. DrupalCon was put on by a subsidiary company setup specifically for the Conference.

If the costs of a camp are going to exceed 5K then you should do one of two things.

evaluate if you are going down the right path. Keep things simple and the costs down. Camps do not need to be expensive and flashy. The value comes with the content (presenters, code sprints, etc.) and not with flashy shirts/stickers/flashy rooms.

setup a company to handle the entire event organization. In the U.S, and especially in Oregon setting up a company costs about $35 and takes roughly one day. You can then go to the bank, get an account and have money flow in/out of that account. When you are spending a large amount of cash its important to separate out the cash to keep accounting transparent to everyone sponsoring. (note that this can also easily be done with a paypal account without forming a company).

Example costs

These costs are from DrupalCampNYC 3 held in 2007 with around 180 attendees.
*  Funds Received =$2,628
o Paypal: 700 - 22(CC fees) = 678
o Sponsor: 300
o Sponsor: 300
o Sponsor: 400
o Sponsor: 1000 - 50 (CC fees) = 950
o Sponsor: 500 (paid directly to food vendor)
o Sponsor: 300 (paid directly to food vendor)
o (Note: Cash handled by organizer = 1,828; Cash paid directly from sponsor to vendor = 800)

* Expenses = $2,322.30
      o Shirts + Stickers + priority shipps (VGkids); 1,478.30
o Breakfast 1st day (bagels & drinks) reimbursement to Michael Mandiberg: 300
o Breakfast 2nd day + office supplies reimbursement to Sam Tresler: 165
o Drinks at Brazen head (first day at bar) 80
      o Lunch 2nd day: 140
o Drinks from Perelandria: (second day) 14
o Drinks from Duane Reade: (second day) 5
o Misc. cash expenses (delivery tips, pens, ice, bags, drinks, etc.) : 130
mainly delivery tips but also too many runs to Duane Reade to pick up misc. crap
o Shipping expenses to shirt designer and Dries : 15
* Donation to Drupal camp = $2,628 - $2,322 = $304 actual donation $300

More info at http://wiredgeek.com/node/702

Logistical items at the camp

Name tags are important.
** Have people fill out there name and stick it to their chest. This helps get everyone involved.
** Some camps have found it useful to attach additional information to the name card. Some examples include
*** Tag yourself. Pick 3 "tags" that identify yourself (I'm OSS, Video, Community; maybe you're Views, Maniac, podcast)
** Whiteboard markers, erasers, etc.
** Masking tape (works wonders for a lot of things)
** Additional extension cords, multi-plugs, etc.
** 5x7 paper, A4 paper, etc. Its useful for

What about the rooms?

Seat 20-50 people

Rooms should have a projector and possibly audio equipment if necessary

Whiteboard, Paper presentation board, chalkboard, etc. (Something for the presenters to write on)

WiFi (a must)

power for the presenter

Potentially power for the participants (less important than the presenter)

a break room with food, beverages, etc.
** different than presentation rooms
** may be the hallway
** conversation in this room may be noisy so ensure that they don't interrupt other rooms

The more rooms the better
** Allow people to create their own small working groups or small sessions.

Drupal Meetup Organizing Guide

Building on the work that Nedjo did for organizing a Design sprint (Thanks Nedjo!) I'll like to get some help with refining and creating a guide for managing and hosting a Drupal meetup. Eventually I'll like to create a book page on d.o with a meetup guide, camp guide and sprint guide.

What is it

A meetup is an informal gathering of individuals interested in Drupal. Meetups can be held at a local bar, cafe, university, company conference room, etc. and generally occurring on a monthly or bi-monthly basis.

Venue

When starting a meetup finding a good location can be key to creating a successful group. There are several factors when finding a venue for your meetup.
1. Find a place that is transportation convenient and central to your user group.
2. Tranquility: A quiet venue is good. Participants need to be ability to hear each other and to hold conversations. The local bar may have great beer but if you can't hear your friend next to you because its too noisy the meetup will be ineffective.
3. Presentations: The choice to do presentations is up to your local community. Generally a projector or ability to present create a much more effective knowledge sharing environment.
4. Price: most meetups have donated venues or places that will accept you based upon the expectation of making money.
* Company conference rooms work great for meetups. Ask around in your community for a company that will donate the conference room time
* Bars, Cafes work wonderful and more often than not with some advanced warning a Bar/Cafe will welcome your group with open arms (after all they are almost guaranteed to sell a few drinks).
* Do the due diligence to find a free venue in the area and it will pay off in scores.
5. Consistency: Find a venue that you can return to over and over again. Consistency is highly effective in growing a community as people become familiar to the location and can plan their day/evenings around it.

Time

The date and time you have the meetup will vary greatly. In the U.S a lot of meetup are held during the workweek typically after work. A few have been held during workday lunch breaks. In Beijing, China we found weekdays were bad and that the weekends worked much better whereas Shanghai, China has there after work during the week. Find the right day of the month, day of the week and time of the day is a learning process and can only be determined by your community.

The one key is the date/time is that consistency is key. Successful meetups all have one item in common. They are held at roughly the same date/time every single time. For example every 3rd Thursday at 8pm or the 20th of every month at 2pm.

When choosing a date/time do a search for your local PHP, MySQL, Linux, Mac, etc. user group and try to not overlap with their meetups. Perhaps consider teaming up with that usergroup if you think its worthwhile to your community.

Length of time for a meetup.

A meetup is generally around 2 hours in length.
A common breakdown of time is
0-15 Around the table introductions (who are you, what are you working on, what happened since the last time we met, etc. etc.)
15-45 A presentation by someone in the group
45-1:15 Q& A on the presentation
1:15-2:00 creating working groups, networking, discussions, etc.

Getting the word out.

The first thing to do is to utilize, or create if necessary, the local geographic group for your community on groups.drupal.org. This is a really strong form of advertising for your group as well as a powerful organizing tool that is completely free for your use.

You may also wish to utilize/advertise on meetup.com, yahoo groups, google groups, etc.

Get in touch with your local PHP, Linux, MySQL, Postgres, OSS, etc. groups in town.

The key in getting the word out is to connect with your local community.

Additional information here
http://groups.drupal.org/node/9393

Drupal Design Sprint Organizing Guide

Note: This guide has been moved to http://drupal.org/node/247987. Please put any further edits there.

Focused "design sprints" - where developers get together for several days of intensive planning and produce a set of proposals for future work - are a new feature of Drupal development, having been piloted in Chicago, USA in February 2008.

The Chicago sprint, http://groups.drupal.org/data-architecture-design-sprint, was felt to be a valuable experience and other design sprints are in the works. This brief guide is intended to provide some pointers for organizers of sprints. Please add in details or ideas.

This writeup draws on experience in the data architecture sprint, including an evaluation participants did at the end of the sprint--see "Lessons learned for future 'Design sprints'" at the bottom of this page: http://groups.drupal.org/node/8714.

Basics

Assemble a list of the key people to be involved. These might include, obviously, developers most active on the topic, but having participants with a range of perspectives and involvement also helps. It may be useful to have a process oriented faciliator who is a little removed from the issue. Numbers? Six or so participants seemed to work well at the Data Architecture sprint.

Decide on a location. Features to look for:

Relatively accessible to most or all participants.

At least one participant is located there.

Availability of suitable meeting space, e.g., donated by a participant's employer or client or other group. The facility should have: wifi, whiteboard, sufficient space, privacy (separate room).

If participants are staying at hotels, arranging to stay at the same one is a good idea.

Designate a coordinator to pull together basic logistics.

Solicit and secure sponsorships:

travel and accommodation costs for participants, e.g., from the employers of individual participants

events at the sprint, e.g., a sponsored supper out.

Before the sprint

While the intensive work will wait for the face to face discussions at the sprint itself, preparation ahead of time will make the in person time much more focused and productive.

Communications

Creating a dedicated group on groups.drupal.org is a useful way to organize the sprint and also share ideas and results with the community. Discussion ahead of time can help define the need, existing solutions and initiatives, and some specific aims.

Need

Why is this design sprint needed? What specific problems are you addressing?

Example from Data Architecture design sprint:

Today, Drupal is a powerful and flexible web application that can be modified and extended to meet many sites' requirements. For the future, Drupal needs to be a powerful and flexible web application-and-services development platform. A development platform requires a consistent, documented set of APIs for accessing all of the platform's functionality.

Existing solutions and initiatives

What existing initiatives are addressing the need you have identified? What are some of their merits and shortcomings?

Specific aims and intended outputs

What do you aim to produce? If the scope seems to large, try to refine it. Select a specific problem that may be representative of a larger problem set. For example, at the Data Architecture design sprint, the problem of bringing CCK fields into core was chosen as a focus to ground the larger discussion of unified Data APIs.

Draft an agenda

See draft below.

At the sprint: sample agenda

Day 1: Groundwork

Introductions

Designate roles: recorder (one per day?) to take detailed notes throughout the day; facilitator, to facilitate as needed

Lightning talks: Each participant presents a 10 minute prepared talk on a topic relevant to the sprint aims.

Revise agenda

Confirm aims

Summary of current status of work

Identify main areas needing work, with a focus on components of an overall solution

In evening (after session): recorder revises minutes from day, posts to groups.drupal.org group.

Day 2: In depth

Taking components identified in Day 1, discuss each in detail, focusing on defining solutions.

Possibly, break into small groups (two or three per group) and delve into specific issues, reporting back to group.

In evening (after session): recorder revises minutes from day, posts to groups.drupal.org group.

Day 3: Plans and tasks

Define specific tasks

File issues outlining relevant tasks.

Potentially, break into small teams (pairs) and draft sample code. E.g., if you have determined the need for a new hook, draft sample hook implementations.
Break the work into concrete tasks with timelines and proposed implementation teams, including leaders and initial proposed membership.

Review broad solution components as identified on day 1. To what extent do the concrete tasks fulfill this vision?

Review process of design sprint. What worked, what didn't, lessons?

Assign short term work in documenting design sprint. Who will write up results? How will they be shared? E.g., at an upcoming Drupal conference.

Fun

Go out for dinner or other social time

Make sure the work days aren't too long. 8 hours is probably a good max.

After the sprint

Write up and share results.

Start in to workplan.

Look for ways to stay engaged with each other, e.g., through meeting at conferences or arranging code sprints involving two or more participants.

What about a DrupalCamp New England?

Feeling a little bit of a post-Drupalcon lull and mulling over travel plans to next weekend's DrupalCampNYC4, I found myself wishing that there was something a little bit closer to home to look forward to going to occasionally.

In case anyone isn't already familiar... DrupalCamp is based on the BarCamp format which is an impromptu participant led free conference, usually one or two days long. At the beginning of the day, attendees sign up for sessions they'd like to lead and/or make suggestions of a session they'd like to see so that someone else can take the lead. Discussion and attendant participation encouraged. The event is to be free (usually you can find companies to sponsor whatever expenses are involved, like pizza for lunch) Lots of coding, lots of learning and lots of socializing inevitably takes place.

I figured it would be a question worth posing to all of the groups in the New England area... Would having a DrupalCamp somewhere in our area be something that we'd like to see happen? If so, where in the greater New England area would we be willing to travel to? (It would be my personal assumption that Boston would probably be most central....)

DrupalCampPDX Presentation Ideas

FROZEN=-=FROZEN=-=FROZEN=-=FROZEN=-=FROZEN

This wiki will no longer be referenced.
If you want to be added to program please notify grantkruger

FROZEN=-=FROZEN=-=FROZEN=-=FROZEN=-=FROZEN

DrupalCampPDX will be held Saturday May 10th 2008.

If you're interested in presenting a topic or would like to suggest a topic then make a note on this page.

I'd like to offer the following advice to anyone who's hesitant to sign up to lead a session: You know more than you think. Ask yourself what presentation would you have liked to have seen six months ago. We're going to have a wide range of people attending and the odds are very good that you know more about at least one subject than the rest of us do.

You're encouraged to team up with other people. Having two people present works really well. If you're doing a demo one person can "drive" while the other describes what's going on and when you hit the inevitable snag you've got someone to keep talking while you get it straightened out.

Ideas

Unclaimed ideas for presentations:
If you would like to speak on one of these, move it to the next section and append your name as speaker.

Case Study: Non-Developer - as an example, the great presentation Brian gave in February (Level 1)

Case Study: Developer - examining more of the inner workings and opp's with Drupal (Level 2?)

Theming(?) (Level 3)

Module Building (Level 2)

Module Buidling (Level 3 - perhaps CCK?)

Into to JQuery

CiviCRM??

Writing Dries a letter with the 10 things we'd most like to see improved in Drupal

Getting help: The best sources of documentation and assistance, from IRC to video tutorials, from drupal.org to Drupal communities. How to determine if a module is worthwhile.

Presentations with Presenters

These are the list of topics with someone who's volunteered to present:
Please add your name if you would like to be on a panel with the people below.

Drupal 101 Introduction (Subtitle: "If Lovin' Drupal is Wrong, I Don't Want to Be Right!") -- Ben Kaplan

Drupal and Politics: How Drupal can help your campaign, whether it be for city council or U.S. Senate - Jenni Simonis (30 minutes)

SEO for Drupal sites - Brian Gonzales, danobrienmuzyka (45 minutes)

Views 2 in Drupal 6.x - drewish

How to Build a Drupal Site That Stinks (Subtitle: "Ben Kaplan's Top 10 Drupal Mistakes") -- Ben Kaplan (60 minutes)

The challenges of Drupal in business- Dan Mendell CEO of neutralSpace

The Garden of Eden-Dan Mendell CEO of neutralSpace
For the business community Drupal offers lots of low hanging fruit from the point of view of quick functionality and deep feature set modules.
Unfortunately picking this fruit is not always easy and can typically open Pandora's box, and puff out of the garden and back into the real world of open
source. Dan will discuss his initial expectations of using Drupal as a prototyping platform, in the garden of Eden, and contrast that to what actually
was accomplished utilizing limited resources.

Top 20 Modules (Level 2) - roger

Drupal for nonprofits (resources & special needs) - roger (Jenni Simonis is willing to help on this)
-- maybe this should be merged with next one (community building)?
(listing some of the specific nonprofit resources could be a lightning talk).

Drupal for community building: grassroots activism and community groups - barry and Jenni Simonis (30 minutes)

Drupal - Does it Scale? (performance and scalability) - Matt Westgate

Build a site in an hour (demonstrate how you can rapidly add functionality) - Matt Westgate

From Mockup To Go: Architecting Drupal Sites (showcasing high-profile sites and looking under the hood) - Matt Westgate

Relating Content: Faking the Object-Oriented Paradigm with Content Types, Taxonomy and CCK - Philippe Blanc and David Price

AJAX+Widgets+Drupal - Philippe Blanc and David Price

Building a highly configurable but hardened Drupal site (emphasis on Panels 2) - Michael Prasuhn

Drupal deployment/management solutions - Michael Prasuhn

CCK (Level 2) - Roger Leigh (just because someone had to do it - please help me!)

Workflows - from simple to complex (45 min) - Michael Shaver

Lightning talks or presentations

We'll aim for 5 in a half-hour, or with enough interest 10 in an hour, 5-6 minutes maximum for each.

You could be next!

Lightning demonstrations

No slides, just interaction with Drupal and Drupal sites (e.g. a demo of a remarkable Drupal page or a nifty Drupal trick). We'll aim for 4 in a half-hour, or with enough interest 8 in an hour, 6 minutes hard maximum (you will be gonged) for each.

MySQL Proxy - Replicating and Scaling Drupal From the Database - Matt Westgate

Deploying Multiple Sites With a Single Drupal Install - Matt Westgate

Enable and prefer OpenID on your Drupal site - Nate Angell (nato@drupal.org)

Software Spotlight: NaviCat MySQL Admin Tool - a visual approach to MySQL - Brian Gonzales

JS Widget Demos - David Price

You could be next!

Semantic Drupal FP7: Code sprint series

Last week at Drupalcon in Boston I realised that it's just not possible to apply for a development FP7 (the 7th Framework Program of the European Union) for Drupal. Things are going so fast that any plan would be obsolete before the project could get granted. That's why I think it would be the most interesting to do a proposal for a series of expert meetings throughout Europe that brings together people to discuss their implementation of the semantic web in Drupal, every time followed by a code sprint.

The core developers involved in Semantic Drupal development that are located outside of Europe could be invited as speakers (e.g. only European companies normally qualify for funding), the actual participants could be companies or universities in Europe that organise the meetings.

Who would be interesting in taking part in such a project and organise one of the meetings. Is there anybody who has the capacity to lead the consortium?

First ever DrupalCamp in India

Hi Friends!!!

We are thinking of organizing a Drupal Camp here in Ahmedabad and thought of having some suggestions from all Drupalers to organize this camp.

We are expecting more than 300 attendees to join us in this camp. Any comments/suggestions on tracks, sessions, length of the event, ways to better the event etc. are more than welcome.

Since Drupal is a community driven CMS, we thought that the community is best to give us useful suggestions to organize this event.
