COD Introduction

Note: We are very excited to publicly kick off this project. We've been putting serious thought into how Drupal can be used to facilitate conference websites for some time. This is our vision for the project so far. It's a work in progress, so please do share your thoughts.

Conferences are information age agorae -- real life marketplaces where information and ideas are exchanged and friendships and connections are made. In person convening are the most exciting, effective, and efficient ways for professionals to forge and strengthen personal connections. The conference organizing distro we are creating is being designed to seamlessly facilitate conferences in a way that can fully tap into the passions and motivations of the attendees and organizers, and drive towards measurable outcomes in terms of discussions and action items coming out of meetings and connections made between participants.

Goals

Organizers and sponsors convene conferences to reach their people. People attend conferences to make connections.

The distro will facilitates conferences by

Giving organizers dead simple ways to organize their conference online

Helping attendees plan who to talk to, make new connection, bring the excitement and action points from the conference back home

Allowing sponsors and organizers more effective ways of interacting and facilitating collaboration with their audience

Needs

Website needs of a conference organizer

Logistics - directions and lodging

Registration

Attendees - publish who will be attending

Schedule for conference - proposing, rating, and scheduling sessions

Presenters - publish information about presenters

Content creation and capture - presentations, notes, and media

Sponsors - highlighting / advertising sponsors

Announcements - updates for attendees

Working groups - creating and facilitating working groups

Discussions - online discussions before, during, and after conference

Merchandise

Website needs for a conference participant

Networking - making new connections

Promotion - self, ideas, products

Talent - finding people to work with

Collaboration - starting, collaborating, and recruiting for projects w/ attendees

How usable is Conference Organizing Install?

Hi!

We are considering to use Conference Organizing Install to manage an event here on Brazil and maybe expand with missed functionalities we consider usefull to our problem.

Looking in specs and screenshots CO seems to be a good starting point but it stills in development.

Thanks.

Install: which modules?

One critical problem that seems to affect many people on installing this module is due to changes that have appeared in the webform module during the last year or so. So before turning your life into a nightmare make sure you are using: webform-5.x-1.7.tar.gz and nothing more recent than that.

Two Weeks to Go! Drupal Camp Alberta 2008 Updates

In just two weeks, Drupal designers and developers from Alberta, BC, PEI & Montana will gather at the University of Lethbridge for Drupal Camp Alberta 2008.

In the past week - we secured our speakers & sponsors, opened registration and are expecting approx 100 attendees - many of who are holding out on registration right now :-)

If you haven't registered already, please take the time to sign up - your commitment of $30 gets you in for two days, provides you a beer, some food, and a shirt - pretty good deal, and accessible to students, and those without luxury expense accounts.

Much has happened over the past week that I'd like to share:

We dropped the sponsor rates, due to the generosity of the University of Lethbridge - they are providing top - rate facilities that dropped our facility budget a ton. We will be holding our workshops at the University's Health & Wellness Facilities in a beautiful lecture theatre and three breakout rooms.

The stand up guys at Drupal Camp Vancouver committed some surplus cash they hand on hand from their camp. What a bunch of solid guys - this helps the short term cashflow a ton!

We've decided on a t-shirt design. Breaking from tradition, we designed a shirt that follows fashion trends a little closer than Drupal trends, but we think we'll be OK (Drupal Camp, Boot Camp, Military Crest - you get the connection.

Accomodation at the University Student housing is still just $40 / person. They run it like a hotel (with towel service, etc.) in the summer months.

Speakers showed up! We've got a great lineup ranging from a 300 Drupal Multi-Site Installation Case Study, to the Services Module - by the Module maintainer himself! We've got a talk for everybody - Designers and Business types should get equal benefit from Jess McMullin's testing & taxonomy talk - as well as my theming how-to. Newbies will get a foothold on Drupal vs. Joomla! vs. CakePHP from Daniel @ image X, and developers will dive into google maps & new module overviews equally well.

We've got a code sprint recipient! Amanda Stepenko (Olympic Bobseld Hopeful) is looking for a site to raise sponsor awareness. I will create the photoshop mockup for my Zen subtheming talk, and together at the conference the codesprint participants will bring the site to life!

Birds of a Feather sessions, Networking night, Track, Gym, Hiking, Art Gallery & More at the venue.

Register today, and you'll be guaranteed a shirt (first 50 attendees!), our second run might not arrive on time.

SEE YOU THERE, Please blog, twitter, email, nudge - anything you can to do help evangelize http://www.drupalcampalberta.org!

Drupal Camp Alberta 2008

DCA08 is unlike any corporate conference you've ever attended - and for good reason. Focusing on "Drupal" - an open source content management system and application framework, DCA08 is a low-cost, highly collaborative "unconference" held in at the University of Lethbridge, in Southern Alberta, Canada.

Gone are the days of sponsored vendor presentations and for-profit registration fees. Our peer taught, volunteer-run sessions will by heavy with "doers", and light on the "talkers".

Join us July 3 & 4 from 8am - 5pm both days (Networking event on July 3rd)

Official Website: http://www.drupalcampalberta.org

REGISTRATION WILL HAPPEN ON THE OFFICIAL SITE (Don't signup here) Thanks!

Registration is now open at http://www.drupalcampalberta.org/event/drupal-camp-alberta-2008

Sessions scheduled a day later

Hi,

I've installed the Conference Organizing distro w. Drupal 5.2 and started to play with it. I've ran into the bug in the date module and applied the patch. Howewev, now I see that all sessions show up a day later in the schedule than where I've put them... Also, when I have only one session, it doesn't show up at all, only when I add a second session, a day later.
What's more, the dates are not in order on the schedule page... (shows up like this . * Wednesday, Jun 11, 2008 * Tuesday, Jun 10, 2008 * Thursday, Jun 12, 2008)

Did anyone encounter a similar thing?

thanks
peter

changing proposed session to session?

I copied the COD theme to sites/all/themes and now the theme is back on. Not sure if that's kosher though.

Now I'm trying to change proposed sessions to regular sessions. Any tips on how to do that? I'd RTFM but there doesn't seem to be an FM ;-)

lost my conference theme and have errors

I've got COD running (still have a couple of errors to deal with (like the one below)). However, all of a sudden, the site wasn't pulling the conf theme css. When I go to admin/build/themes the conf theme (which I put in profiles/cod/themes as directed) doesn't show in the list of themes available. Is there somewhere else to define a theme for the conference?

Also, can anyone point me in the right direction about the following error when creating a new user:

Green Building conference solution assistance

We are seeking to create an integrated webinar system that incorporates a catalogue of possible topics, a calendar of sessions and various other resources that can automate the participation process. This system would integrate with a WebX type of program. Anyone out there that has some COD solutions, calendaring or other ways to execute this objective, please come forward:) Taking this to another level would be a virtual tradeshow….

Installing COD experience and current wish-list

First off, I want to thank zacker and the other Chapter Three guys for the work they've done on this.

I wanted to first share how I've gotten the site up and running so far, the list some issues I've had, followed by a wish-list of features I'm looking for.

Installation Steps

I'm running drupal 5.2 and I just upgraded my php install to 5.2.4. I followed the install instructions with the following exceptions:

Version 5.x-4.0-RCx of OG was giving me a problem. I had to use release og-5.x-3.1.tar. The error message was something about the _rehash_block() function.

I had to install the token-5.x-1.8 module under the root modules. Otherwise pathauto kept reporting an error.

I had to reconfigure and reinstall php with the --enable-bcmath flag set.

I didn't have Apache setup for pretty urls at first, but the COD profile defaults to pretty urls. This lead to broken links after installation until I configured Apache.

I am using the CVS version of the COD module, theme and profile.

Bugs

Once i got the site installed, everything has worked except for the conference schedule as was reported earlier.

Wish List

Some features I would need to be able to put this site into production:

Sponsors. I'd need a menu item for each conference for sponsors as well as a block that would list current sponsors. This is the most important feature missing.

Speakers. Currently a session presenter is just an arbitrary string. I'd need sessions to be linked to actual users and bios. I'd also need the option of more than one speaker per session.

Registration Process. The registration process needs to be more flexible. For example, some of the conference we run, we use an external third party to process all registration and handle credit cards. I was thinking I could adjust the web form to include a link and a field for the third party confirmation number. In any case, I can imagine this will be the area of the distribution that will regularly need to be modified by installers.

Localization. In a perfect world, I could have the same conference presented in more than one language.

Per-Conference Blog. I'd be nice to have a per-conference blog and a site-wide aggregate.

I'm new to drupal (this is my first time evaluating it), so I'm sure that some of these things are not too difficult. I imagine we could use the CCK and Views modules to do the Sponsors (just as we have the sessions set up). I've already looked into modifying the session definition to include speakers as users, so this looks possible too. In fact, I'm sure it's all possible. I just need to read up on the documentation for how.

My Situation

I'm the current victim developing and maintaining the ApacheCon websites. Right now we're using a Rails based site, but it needs a lot of work. I'd like to have a new website up and running for our 2008 conferences. At this point, I'm either going to recommend adopting COD or recommend putting the effort into the Rails code to finish it. I'm new to Drupal but I'm willing to help out if I can. I'd appreciate any thoughts Zacker or one of the other developers could share about the feasibility of my wish-list and a roadmap (with dates) of the current project. I know dates are difficult. If we choose to adopt COD, then I'll be helping out as much as I can. The biggest obstacle I have at the moment is the schedule bug. If that can be fixed, then I can finish my evaluation and show it off to the conference team.

Thanks!

J Aaron Farr
website developer | Allied Media Projects

The Allied Media Conference is an annual, weekend-long gathering of influential, alternative media-makers and committed social justice activists. We gather in order to share and develop strategies, skills and resources for advancing the human right to communication. The geographic home of the AMC is Detroit, Michigan. The current website can be found at www.alliedmediaconference.org.

We seek a website that performs the following functions:

* Users and non-users register for the conference, paying with credit card.
* Users can create profiles and add content.
* Conference registrants can create profiles of organizations.
* Conference presenters add additional information about their session and travel.
* Organize and schedule conference sessions.
* Manage email lists for discussion and announcement.
* Store and manage all data from the above plus additional fields in a single database.
* Integrates data, such as user profiles, from the current Drupal-based site.
* Flexibility with themes or skins to allow for annual re-design.

We prefer open source software. We want a solution that will work for other conferences, too. The AMC currently uses Drupal, so we lean in that direction.

Interested developers and development teams should send the following information to info@alliedmediaconference.org or visit the webform at http://alliedmediaconference.org/webdevapp

* Name of organization, if applicable.
* Primary contact name, email, phone number.
* Website.
* A little bit about yourself or your company (less than 50 words).
* Your regular hourly rate, including any discounts for nonprofits or other caveats.
* Your connection to or familiarity with the Allied Media Conference.
* Links to 3 work samples, with client reference contacts.
* A brief (1 paragraph) explanation of your proposed solution indicating the code base and its license.
* A clarification on whether you also provide design services, would partner with a specific designer, or would expect us to provide the design. (The AMC has a print graphic designer, but there is considerable flexibility in implementing those elements on the website.)

Thank you for your interest. The deadline for responses is October 1, 2007. We reserve the right to extend the deadline. We will select approximately three finalists shortly thereafter to provide a more detailed response. We aim to complete the website before December 24, 2007. The 2008 AMC will be held June 20-22.

NASACoLab.org / COD to be presented at DrupalCon

Just want to say thanks to Chapter3 for continuing to work diligently to make this distribution, and our upcoming NASACoLab.org instance of it, better and better. We'll be presenting about our use case and the challenges of deploying Drupal for the US government in general at DrupalCon next week in Barcelona: http://barcelona2007.drupalcon.org/node/498

No valid conference days were found.

I am doing a fresh install (with the head version of the module - from 8/19/2007) I have created a new conference. When I go to the schedule I get a "No valid conference days were found" I can add sessions, but I cannot see the schedule. It seems that there is some structure or node that has the schedule for one day.

How do I add that.

p.s. I did check the dates on the conference and they are two consecutive days.

Programatic CCK Now Possible!

I just wanted to point out a very important change to content_copy.module that makes it much more fasible to create CCK field programatically as part of an install profile. As of last week, the DRUPAL-5 CVS version of content_copy.module no longer ends content_copy_import_form_submit() with a drupal_goto().

Previously, if you attemted to import a CCK node-type using drupal_execute(), your script would redirect to an admin page, which is problematic during an install profile as it short-cirtuits the process. This is no longer the case.

You can now run code similar to the following:

<?php
  include_once './'. drupal_get_path('module', 'node') .'/content_types.inc';
  include_once('./'. drupal_get_path('module', 'content') .'/content_admin.inc');
  $values = array();
  $values['type_name'] ='<create>';
  $values['macro'] = /** YOUR CCK EXPORT DUMP HERE **/
  drupal_execute("content_copy_import_form", $values);
?>

Building the Schedule Page: Part Two

After some serious development, we have finished a stable version of the conference schedule page. It can be viewed here and contains the following killer features - the ability for events to span entire columns and take up multiple rows, functionality to let users elect to attend or not attende certain events (with cool javascript color changes), and a tabs display to allow quick browsing of different days of events.

This was accomplished by using a custom view (with fields for event start time, end time, location, and track) pushed through a views plugin that is based off the work that torelad did for his 2 Axis Grid plugin. The code was modified to deal with the specific use case of a conference schedule (requiring data points on both the start and the end time, as well as the conference track) and contains some cool integration with the rest of the COD.

allow participants to create their own schedules with book of abstracts and print them

make a conference part of an existing website (useful for persistent communities that organize periodic conferences and would like to keep them on the same site)

CosmosCode is a flagship project of NASA CoLab, and the intern will be responsible for configuring and operating the website for this open source space-related-software community. The Intern will also assist on-going development and maintenance of the Drupal-driven CoLab Partnership Software project and the CoLab collaborative on-line community website (to be launched soon).

Qualifications:
**installation, setup and ongoing support of Drupal and Trac
**familiar with and interested in open source technologies and solutions.
**setup, configuration, and ongoing system administration, of an apache server with at least postfix, mailman, mysql, and php.
**installation, setup and ongoing support of Drupal and Trac, including importing data from previous installs of both, which may include upgrades and database discrepancies.
**skills in php would be quite helpful but not a must
**basic knowledge of python useful but not a must

About NASA CoLab

NASA CoLab is a Collaborative Space Exploration Lab being developed at NASA. CoLab is providing opportunities for individuals, whether students, technologists or entrepreneurs, to contribute to space exploration, and co-work with NASA scientists and engineers, using collaborative online technologies. By providing the institutional mechanisms and technical platforms for individuals to contribute to a range of activities, from open source software development and space architecture studies, to data analysis and settlement design, it increases the accessibility of space and its relevance to society's activities on Earth. It also provides added value to NASA through catalyzing partnerships, reducing the cost of space exploration, and extending the results and applications of existing activities. Via partnerships, CoLab will include a physical space in downtown San Francisco, a collaborative online space, and an interactive island in the virtual learning community Second Life.

All interns are strongly preferred to be undergraduates enrolled in college/university, or graduate students, and will be an important part of the CoLab and CosmosCode teams. Both are small teams where individual input and personal opinions are encouraged and welcome. We are looking for people to start ASAP; as such, applications will be assessed on a first-come first-serve basis. Position runs through the summer, and pay will be commensurate with education. These positions may have the potential to continue on in a reduced capacity throughout the school year, depending on funding.

To apply, please visit Education Associates website: http://edassoc.arc.nasa.gov, and search for CosmosCode.

Building the Scheduling Page

The goal is to generate a tabular conference schedule based off a collection of different conference sessions that will look like this. There has already been some great work done by torelad in the form of his 2 Axis Grid plugin for Views Bonus (code, description). A prototype of this lives on the development server here.

The next steps here involve improving the "smarts" of the 2 Axis Grid plugin to provide the following features:

Implement appropriate colspan and rowspan markup to schedule table

Give site administers a list of current room assignments and allow them to assign one of those to a new session

Provide more themability and stylization to the table

Cleanup the patch code and get it committed to Views Bonus

Registration workflow diagram

I added a diagram that attempts to explain how the conference registration system is going to work. You can check it out on the COD: Registration page.

What should we name this thing?

COD (Conference Organizing Distro) is really bland and lame. I think this project deserves a more interesting identity. We've brainstormed a bit at Chapter Three but haven't come up with a winner yet.

Here are a couple ideas so far:

Campcon - as in Camp + Conference... pretty 'bleh' but does get stuck in your head.

Captured Connections - read the product vision

Any ideas?

COD Scheduled Sessions

Sessions are scheduled using CCK date fields. They will be displayed in an automagic track view.

Prototype: http://conference.chapterthreellc.com/scheduled_sessions

create CCK fields for start time and end time for sessions and for conference nodes

add a 'scheduled' cck field that uses jquery to dynamically show / hide fields when selected

create 'scheduled sessions' view using 2 axis grid style plugin: http://drupal.org/node/121730 (described here)

get that patch into views bonus module

create menu call back for sessions page which points to theme_cod_sessions_schedule()

have theme_cod_sessions_schedule() display nedjo tabs which display track view for each day of conference schedule

COD Registration

cod_registration.module overview

This module will handle the user workflow for account creation, profile creation, and conference registration. It also leverages og and webform module to implement a conference registration system that supports multiple conferences with dynamic registration forms for each conference.

Step 1: Account creation

All profile information will be stored using the bio module in a CCK node, so the user registration form will be bare (user name / email and password if using login tobaggan). We won't be interfering with the standard drupal registration system, but we will be displaying helpful messages to non - logged in users:

create bio node that contains abbreviated registration form on conference nodes for non logged in users.

insert hidden field for conference ID into abbreviated registration form

create module setting that allows disabling user/register form to 'enforce registration on conference nodes'. this will avoid a case later where a user registers for the site but then gets lost in the registration workflow because we don't know which conference they want to register for.

in hook_user() on 'register' store conference node ID in serialized in user object -- this variable will be used later in registration process.

Step 2: Conference registration

Conference registration will be done implemented by having each conference be a 'og' enabled webform. The webform will let admins create a dynamic form, listen for a user to fill it out, then add them to the conference group to track membership, and add the users bio node to the group so we can have a directory of registrants.

The conference creation node will need to be de-crufted:

Description: remove mention of group

Confirmation message: remove language about path redirection

Components: change to 'registration questionare'

Email to address: title 'registration notifications'

Group website: remove

Subscription requests: change language so it makes sense for conferences

Registration form: change 'group' to conference

List in groups directory: remove

Advanced settings: set to limit to 1 submission and hide from form

After a user has created their account and a profile node we will direct them to register for their conference:

conference registration question: how do we store conference cid on user/register?

when registration enforcement is set to nudge and users haven't register for conference, display message in 'Registration' block directing them to register for their conference.

if enforcement is set to 'strict' and they haven't registered, direct them to the conference registration node.

If the user does not have a bio created it should not let them register

use $form_alter to replace webform with message telling them they need a bio filled out if they don't have one

We will need to tweak the webform forms to make them more understandable for conference registrants:

use form__alter to insert registration instructions above webform form on conference nodes

To integrate w/ og to handle membership we must:

user form__alter to append a cod_registration_conference_registration call to webform submission form

cod_registration_conference_registration: add user to the conference group

Conference registration will need to respect group privacy settings:

use form__alter to hide webform for closed groups

use jquery goodness to grey out webform controls if user selects 'closed group'

use form__alter to redirect visitors to 'og/subscribe' url's to the webform for the group

Step 3: Profile creation

We will be using the bio module to create profiles for users. This will let us easily create a views based member directory for conferences. Users must have a profile node created before they register for a conference however:

patch bio.module to allow for bio node form on user/register

patch bio.module to add option to 'create bio node' for each user

create cod_registration settings for 'registration enforcemen't with 3 settings: none, nudging, strict enforcement

implement a block 'Registration' that enforces the setting: for none it does not display, for 'nudging' for users that don't have a profile node it gives them a notes, and for 'strict' it will redirect user to their profile creation form.

We will also have to clean up the profile node creation form:

default title to user name, and on submission reset to $first . ' ' .$last

remove group form and authoring information

add at the top 'Step 2: Fill out profile'

Add at the bottom 'Next: Final step, conference registration for '$conference_node->title';
