Proposal for a Drupal Camp San Diego in early 2009

Introduction
Several of us have been talking (well, actually Karl has been doing most of the talking) about hosting a Drupal Camp in San Diego. It's a fun town, there's a lot of Drupalites in and around the downtown area, and it's only 100 miles striking distance from Los Angeles. The LA DUG folks can come too!

So here's what we propose. Let's get a small contingent of dedicated organizers and see if we can make this happen. Joel has full support from WorkHabit, Karl has full support from Achieve, and we can even tap the knowlegebase of the illustrious Crystal Williams for advice, direction, and whatnot. Sound like a plan?

If you like this idea, post a comment under this thread and tell us! This page is a wiki, so I'm sure it'll be edited and revised and changed quite a few times in the coming month as we begin to prep for this event. We'll try to mark new sections in green so you can tell what's new from the last time you read it. Yeah, we're so advanced and cool that we're thinking about you. And your overtaxed brains.

A camp is a one to two day event that focuses on many aspects of Drupal in one location. Its focus is knowledge sharing amongst the community. Essentially, you’re getting the community together to do some community training. The term "Camp" comes from Barcamp, like an informal non-conference that happens at a bar. It’s not fancy. Camps are basic. They take a bit of organizing, but in general it’s pretty easy to run a camp.

DATES

Do we want to try a Friday/Saturday camp, or Saturday/Sunday?
Target weekends are

January 16-18
January 23-25
Superbowl weekend
Feb 6-8
Feb 13-15

any sooner and its too close to the holidays, any later and its too close to Drupalcon.

VENUE

There's a good possibility that something on the UCSD campuses might be available in January. We're checking on it, but if you have any suggestions for a venue that can hold up to 100 people and has AV equipment in at least two rooms, please let us know.

A lot of the non-metro area folks have mentioned that proximity to public transit would be very helpful. If the venue could be connected to Amtrak, the Coaster, light rail, etc, we make it a lot easier for folks to attend. A school/university connection is excellent as well - good chance of getting a free venue with wireless, and they're enthusiastic about hosting a tech conference. Other things to consider are parking, and the availability of food nearby.

REGISTRATION COSTS

Initially, we were thinking of $20 per person to register for the event. This is mostly to make sure that people who register really show up. There's nothing worse than having a head count of 100 people who say they'd love to attend, and then wake up on Saturday morning and don't really *feel* like driving anywhere.
It would also mean we'd need a lot less sponsorship money in order to to make this happen, and will have shirts and food for the event. I'd suggest making exceptions for students who want to attend - the fee shouldn't actually prevent anyone from attending. Other opinions?

BUDGET + MATERIALS

We're thinking $1,000,000 should cover the free stickers, right? Truthfully, we don't have a projected budget pulled together yet. Come on, we only thought this thing up a few days ago! But please tell us, what do you think would be a valuable thing to factor into the materials budget? Free scarves? Drupal Tattoos? Balloon Rides?

The budget picture will become a lot clearer once we have a venue. Hopefully the space will be donated, we will still need to account for wireless access, AV equipment, t-shirts, and then a big variable is food. If there's something nearby we can reduce costs here, but if not, it can be expensive to feed 100 people 4 meals.

Hey everyone, William Estrada, the organizer of the OCPHP meetup, along with Craig Gardner, hosted a drupal meetup. It was at a business in Irvine called FarHeap, and it was a really good meetup. Some of the LA drupal guys came down to show their support and it really turned out to be a productive meetup. I just wanted to spread the word and see if anyone else would be interested in attending another OCPHP - Drupal meetup.

come checkout the new-ish SoCal Drupal group - it's been revamped. like totally. I've redone the homepage and added a "recent" tab. PLUS, I've added "locales" & "skills" that allow for better categorization of posts.

why? as I see it the main goal of the group is twofold:

to help users in SoCal without formal groups to connect
to help existing formal groups to find new users and more easily share information with each other, especially events.

in the spirit of sharing and community, I'd also like to invite all group managers in southern california to become an admin of this group. anyone else got spare time? ;-)

also, (possibly most importantly) please post events directly in the southern california group, and cross post as necessary to your own group. Unless (until?) we can share taxonomy between groups? apparently if posts are created in another group and cross posted to Southern California - taxonomy terms can't be added to the post for categorization. (bummer)

also notice the new WIKI with SoCal info.

Faced with a bigger demand for Drupal developers than even last year... the Los Angeles Drupal Users Group has decided to throw our second annual free community training session to improve the level of Drupal development in Los Angeles. Drupy - Drupal running on Python

Drupy is a Python port of the Drupal Content Management System. The project is not yet complete, but is moving at a fast pace towards an alpha release. Brendon Crawford will be presenting this preview of his talk planned for DrupalCampLA 2008.

The primary goals of the Drupy project are:

Giving Drupal developers an easy transition into the Python language.
Giving Python developers an easy transition into Drupal.
Implementing any possible Python-specific optimizations to the core codebase

Some of the ways which these goals are being accomplished are:

Maintain full API compatibility with Drupal version 7
Implement all core code as fully namespaced and Object Oriented structures
Provide a comprehensive PHP function abstraction tookit for Python
Enable major core components to run in persistant memory via WSGI

Differences between Drupy and Drupal
Porting Drupal modules

SoCal under attack

by me. I was looking at activity in the Southern California group, with the exception of a couple job posts there has been NO topical posts exclusive to the group since march of 2007. That's over a year of stagnation in a community that is far from stagnant.

I feel this leads to noise & confusion. Anyone object to killing the group? it was seems to have been created at a time before a dominant regional group took off.

Basic Drupal Training 2 day

We are hosting a 2 day basic Drupal training on August 16-17 2008. The training will take place at the Holiday Inn in Long Beach at the Long Beach Airport. The instructor will be Chris Charlton from L.A. Drupal. Space is limited to 30 participants. Lunch will be provided. Registration is $300 per person.

Ever wonder what the LADrupal meetups are like?

we're mostly friendly. and mostly fun. but we're pretty geeky. in a cool way, of course. but this month we're a bit melancholy on the news Crystal is leaving us for Seattle. :-/

the good news is that we taped our meeting. ya, real geeky. but LA area is HUGE. and sometimes making it to the meeting in person can be difficult. so there you go... we're geeky but thinking about everyone that wanted to join us, but couldn't.

I hope to tape and stream the next meeting in July - with questions available in real-time in either IRC or dimdim. but that depends on Internet - last two months we've had sketchy connection - whats up with that RMI?! ok, not dogging the venue, cuz its simply awesome... and free, and comes with overhead projector, and TONS of seating. It's just the Inet connection has sucked lately. but we really need internet for some of the presentations.

anyway, back to the point of this post. like a lot of the drupal world we're using blip.tv to post our video. bookmark or digg or del.icio.us, etc our show URL: http://drupal-la.blip.tv. ya, nomenclature just like our IRC channel

the June meeting rocked. I've still got a lot more uploading to do,,, but there's enough up there to keep you occupied. also, Tom Friedhof was cool enough to host the slides for download (since they're bigger than the 1MB limit of groups.drupal.org (gdo). Tom Rocks!

Hi folks, I'm sure you want free stuff. Well, you'll get it. Not only do all attendees get to be on the official beta of the XTND.US Drupal Themer's Kit Pro for Dreamweaver, but there's new offerings for our members. In looking to get more talent to volunteer and speak at our LA Drupal meetings I have outlined the various offerings below.

Presenter Thank You Gifts
Everyone who speaks/presents at an LA Drupal meeting will be entered into a raffle at the end of the year. The more times you speak, the more raffle tickets you'll get. Prize will be valued at $50 or more. And, for everyone who presented they will receive a token of thanks and maybe a digital badge to show they've spoken at LA Drupal (or Drupal Camp LA). When the budget comes in for T-shirts, pins, etc., anyone who is presenting around would time will benefit nicely. ;)

NOTE: Presenters only need to speak for 5-50 minutes, depending on the topic and goal of the presentation. Speakers should present from their own laptops, or schedule to borrow one ahead of time. Topics can be case studies of your Drupal works, example Drupal sites you found and love, Modules you can't live without, a trick or tip... I think you get the point. We're open to even some general PHP and CSS knowledge shared. And, yes, you can speak a bunch of times on different topics, even if they're all just 5 minutes long.

Refer a speaker and get something!
If you deliver a fresh speaker to LA Drupal you'll get something. What it is, I cannot say, but it is cool enough to do your best to help up fill our monthly lineups.

Presentation Template(s) - (for Powerpoint/Keynote/OOo)- If we have or link to presentation template(s) then group admins can point speakers to the template(s) as an aid. No one has to use them, they'd just be neat since some default templates can suck from Office suites.

Template requirements:
* Must contain a title screen/page for the presentation name and the presenter.
* Drupal logo must appear somewhere, even if it's at least on a master page/template.
* Must ship with a page/slide containing our new slogan "I (Drupal) LA." Note, the Drupal logo must be used in this slide.
* Design must not get in the way of expected page elements that will be added over the template, like text and images.
* 1024x768 resolution would be acceptable, 800x600 if people comment here and ask for it.
* They can be designed as Drupal-only, LA Drupal branded, even Souther California (Drupal) branded, Drupal User Group branded, Drupal Community branded, etc.
* Simple is always best.

The presentation templates would be open to the public for download, allowing other Drupal groups to take and use. We will be collecting any templates/links into a community speaker's kit, introducing our group, our guidelines for presenting certain topics, and contact info of group admins for backup.

Do nothing and sit
Sure. You can attend, do nothing, just sit, and you can enjoy our meetings and even win a raffle or two when we hold them for attendees.

Los Angeles 2009 Drupalcon Proposal

Los Angeles DrupalCon – Spring, 2009

A proposal from the Los Angeles Drupal Users

Date: April 27 – 30, 2009. Code sprint at a location T/B/D on May 1, 2009.

Location: Pasadena, California.

Venue: Pasadena Convention Center Ballroom. The Ballroom is a new addition to the Convention Center with 25,000 square feet of usable space that can be divided into as many as eight working areas using air-wall technology. This will give us six working areas seating up to 300 persons in each. Those spaces can be quickly combined to provide a 1,000 seat area for keynotes without reconfiguring any equipment (stage, chairs, A/V) on the floor.

The PCC is a great fit for a DrupalCon. The building can easily accommodate over 1,200 attendees in a very flexible configuration. The PCC provides an event manager who takes responsibility for coordinating operations during the event, and they fulfill almost all physical requirements, such as staging, reconfiguration services and registration setup.
The PCC has additional facilities that can be secured for side meetings and sessions, or those can be held at the adjacent Sheraton hotel.

Attendance fees: We anticipate setting an average fee of $200.

Free and sponsored individuals: We intend to create a pool for stipends on a case-by-case basis. This will be administered in concert with the Drupal Association.

Sponsorship structure: We will adopt a structure similar to the one used in Boston with a goal of $160,000. We will have Platinum, Gold, Silver and Bronze levels, and will also offer lower sponsorship levels for small companies, organizations and individuals. We have made preliminary contact with several potential sponsors.

• Silver - $3,000
• Bronze - $1,250
• Supporter- $250

Revenue generating sub-events: None planned at this time.

This is a preliminary budget for planning purposes.

The PCC offsets rent against expenses, and those expenses dwarf the calculated rent. The preliminary budget is neither optimistic nor pessimistic, and while the final numbers within the categories might differ, the overall budget should fall close to the estimates.

Los Angeles DrupalCon will be a not-for-profit event. Any incidental revenue will be used for the benefit of the Drupal community. The event has a breakeven point at roughly two-thirds of our attendance and sponsorship goals.

Fiscal responsibility: The Los Angeles Drupal Users Group is not a legal entity and has no formal organization. The Drupal Association through an authorized representative would assume all legal and financial commitments.

Catering: Catering at the PCC is expensive, and those charges are the largest single line item in our budget. Of that, the bulk is a $30 per day per attendee cost for beverages and snacks. We will not provide a lunch, as there are plenty of restaurants and cafes available within a block or two of the facility, and there will be food concessions on site, as well.

Program: The program will be managed by the Los Angeles Drupal Users Group with input from all interested parties. We do not plan to compensate session presenters, but we will reserve some funding for keynote speakers, if needed. One or more of our committed volunteers will serve as Program Director, and will take responsibility for managing the track and general program schedules.

Attendees will be allowed and encouraged to propose sessions and to vote and comment on those proposals. Should the Group determine that there is a gap in program coverage, the Program Director will add sessions and recruit presenters to address that gap.

Code sprint: The code and documentation sprints are currently planned for the Friday following the DrupalCon. The location is yet to be determined. There is no budget for this event beyond incidental costs.

• Travel and lodging information
• Session proposal and user rating
• Networking and notification systems

Promotion: Our small promotion and PR budget will be used to promote the event and Drupal in general to the public, focusing on the Southern California region.

Staffing: We will contract with a professional event organizer specializing in not-for-profit events or work with an organizer provided by the association. Los Angeles Drupal Users will assist in the production of the conference.

Committed volunteers: The following members of the Los Angeles Drupal Users Group have committed to supporting the event by taking leadership roles in its production as of July, 2008:

About Pasadena:

Pasadena, with a population of about 140,000 is located at the foot of the San Gabriel Mountains, less than ten miles from downtown Los Angeles, yet it maintains a distinct character defined by its many diverse cultural, scientific and academic institutions. It is approximately twenty minutes from the Burbank Airport and half an hour from Los Angeles International Airport by shuttle or car.
Pasadena has many clubs and restaurants, and an active street scene in its Old Town area. Along with Old Town, it has diverse shopping areas including the Paseo Colorado, Lake Street and Old Town to suit all tastes.
The Convention Center is centrally located with easy access to restaurants. Over a thousand tables are available within two blocks of the center, many in a plaza directly across the street. Conference hotels are close, with one directly adjacent to the Center and others within a two to five minute walk. There is also a motel next to the Center and other high quality, economical motels a short bus ride away. The Center is blocks from a subway line that runs to Downtown Los Angeles and connects to Hollywood and the San Fernando Valley.
The Los Angeles metropolitan area, with a population of roughly sixteen million, is the second largest in the United States and thirteenth largest in the World.

Attendance fees: Pending selection of a venue and determination of sponsorship level, we will aim for a fee of $200.

Date: t/b/d with preference for mid-April.

Staffing: We will contract with a professional event organizer specializing in not-for-profit events. Los Angeles Drupal users will assist the professional staff.

Notes:

We could reduce the cost of attendance by holding the conference at a university such as Loyola Marymount. In that case, the date would need to be subsequent to the end of the academic year, presumably mid-June.

We would like to avoid the typical venues for conferences of this size – Los Angeles Airport area hotels, as they are in an isolated location.

One of our potential sponsors has suggested holding the conference in Santa Barbara, which an attractive area with an appropriate venue and a range of lodging options, despite some travel challenge.

9Apr08 - So far the most promising venues are Pasadena and LMU. I will be meeting with the Pasadena Convention and Visitors Bureau soon and will report back.

20Apr08 - I will present an overview of the Pasadena proposal at the 29 Apr meeting

Team Lullabot is going to be in town next week for a round of theming workshops. We've got a room booked for the full week and would love to host a local meetup.

We'll be at the The Portofino Hotel & Yacht Club: 260 Portofino Way in Redondo Beach [map] on Tuesday, February 5th from 6:30 - 10pm.

Potential Orange County Meeting locations

This isn't an actually an event, but I've done some research into meeting in Orange County briefly. Sadly (gladly?) I don't live there anymore so I can't help you organize this, but I thought I would share the possible meeting places I found. There's always the option for something such as Panera bread as a restaurant that has decent food, and wifi, with several location throughout Orange County.

Also if a more serious classroom type meeting is planned the OCPL has some rooms available, I know of one at the Heritage Park branch in Irvine which seemed well located, but often booked. http://ocpl.org/16brnch.asp

The Irvine Ranch Water District has some meeting rooms at it's offices a little further south, and some info is available at http://www.irwd.com/FreePrograms/meetingrooms.php. I don't know what the internet access would be like there, if available at all.
