The “Master Program” is the document used to manage every aspect of a Craft & Hobby Association tradeshow. It contains the list & contact information of the vendors and their employees, the requirements for each section of show floor setup as well as that of all education and meeting rooms, and special events.

The Master Program application should provide for inclusion of external documents (PDF’s, etc.) from other sources in addition to the internally created records. Rooms, and their setup requirements, for Education sessions will be recorded in netFORUM but may be considered internal records if the same application allows for the creation and management of these requirements.

Wherever possible, the Master Program application will include cost fields at the lowest possible point. Each element, even if a text area is used to describe the item should, at least, have a price field that is typed rather than calculated.

The Master Program application will include categories of items that can be assigned to the element as well as a vendor to allow for the presentation of a complete listing of a vendor’s requirements.

Each record will have a Private or Public flag to delineate between information that is viewable by all (possibly a shared login) or restricted to certain roles. There will be Roles which will have records and functions enabled and each user name may be assigned multiple roles.

Reports will be generated and will be capable of being saved in multiple formats such as Word, Excel, PDF, CSV, and possibly others.

Display of rooms, special events, the show floor, special areas, and education sessions will be capable of being sorted and filtered by type of event, and/or by date/time.

Ideally, an “alert” function will be included where a subscriber can be sent an email, SMS, or text message to a portable device or email address.

Ideally, the application will be capable of reading contact information for Vendors, Speakers, Instructors, Employees (of members), and CHA Staff through xweb rather than duplicating this data to eliminate the possibility of mismatched data.

Due to the free-form nature of the setup information in the operations portion of this, little netForum integration is anticipated. However, ideas on integrating this are encouraged.
