Dublin Weekend Event

Events happening in the community are now at Drupal community events on www.drupal.org.
stella's picture

Hi,

Re-posting this separate from the other Drupal Dublin event thread, as that one is now in full swing for happening next Thursday, 9th Sept.

So I've been looking into venues for a Saturday event in Dublin, since so many of us can't make it to upcoming Thursday one in September. I think we should go ahead with the Thursday one, but this one should take place in October / November and be aimed at a wider audience so more people can participate.

The only disadvantage to a weekend event is that we don't have a free venue like the guys in Galway. So I've done some investigation into costs. All of the following prices are based on a 30 seater room, for a Saturday from 10am to 5pm.

  • Mont Clare hotel - EUR 499, theatre style, includes a data projector. People who want internet need to pay EUR 10 each!
  • Other O'Callaghan hotels are more expensive, but have bigger rooms, believe me, you don't want to know the costs!
  • Trinity Capital Hotel (Pearse St) - EUR 400, theatre style, including free internet for presenters but we'd need to bring our own projector or pay EUR 150 for theirs.
  • Morgan Hotel (Temple Bar) - EUR 350, boardroom style (30ppl), theatre style (65ppl), includes projector and internet for presenters
  • Trinity College Dublin - min. EUR 486, classroom style, includes data projector
  • Liberty Hall - EUR 300 if we can call ourselves a voluntary group (?), higher otherwise, includes projector, no internet.

So it looks like Liberty Hall or the Morgan Hotel are winning. I've still to hear back from the Royal College of Surgeons, and a few other hotels. Does anyone else have any ideas? Is 30 people a good enough estimate?

Does anyone have any ideas on how we may fund this? Anyone on the list know of a company that might be willing to sponsor us? If we were to pay for it all ourselves, and assume 30ppl come, then that's EUR 10-15 each. Is this too high?

I'm going to talk to people involved in organising the ILUG and SAGE events to see if they've any suggestions.

Will keep you posted!

Cheers,
Stella

Update

stella's picture

I've had some very useful discussions on the ILUG IRC channel, and it sounds like some of the people there might be able to sponsor us or get their companies to help. I don't want to post the names of the companies since nothing is finalized yet, but big thanks to bigbro, czajkowsk and noirin for their help and suggestions.

One thing those interested in helping need to know is when we were hoping to hold the event. I was thinking a Saturday in October or November. What do people think? When suits you best?

I propose Saturday October 25th (just to get the ball rolling), but any weekend should (hopefully) suit me.

I'm also calling for presenters. I can do presentations on jQuery, Coder module or Lightbox2 module if people want. However, the aim should be to get more people actively involved, so if you want to present or even just share your experiences with Drupal, showcase sites you created, then just let us know.

Cheers,
Stella

Will present for food.

alanburke's picture

Or out of the goodness of my heart.

Themeing, Drupal basics, could do a showcase of www.remedi.ie, my most recent favourite site.

Or whatever is wanted.

Any requests? Its a good excuse for me to look some stuff up if needs be.

The 10 minute Drupal site v. Contributing and participating

heather's picture

Thanks, Stella for kicking this off!

Alan, why not show off your development of CSS standards in Drupal- and talk about what that means- how it works, etc :)

Hmm... I have two ideas... what do you think?

I'd like to do a presentation on the 10 minute Drupal site. Basic introduction, showing how simple/fun it is as an end-user.

  • Must-have modules
  • Installation & configuration (probably pre-recorded)
  • Content types and Views
  • Zen Sub-theme

I tried to do something similar in Galway- but didn't have a good "idea"... ~I have a better idea now, and I think it would work.

OR- I could do a presentation on ways to participate in the Drupal community, how you can contribute and give back to the open source project and community. Just a thought! (Stéphane gave me some good ideas recently).

I think that would be great, because we often take-take-take, but we should also establish a sense of the mammoth effort of organising and developing consensus for development and change- and how the open source effort works. It would be good to report a bit on what is going on in the Drupal community, and what is planned for the upcoming year.

Maybe it depends on what other people are interested in?

Drupal basics

stella's picture

I like the ideas of theming overview, Drupal basics and the 10min Drupal site - these would all be good for people who are fairly new to Drupal and could show them the range of things Drupal can do for them and how flexible it is.

Cheers,
Stella

Dates

somes's picture

its looking like the weekends of the 18th-25th are out for me sorry guys would love to contribute :) 1st Nov may also to looking doubtful

here are some topics I could present on - or would be interested in hearing presentations on

would suggest module development - customising a new type,

FormAPI getting to grips with it in particular form caching in relation to ajax user experiece ie the only example i know of is the poll module (i still havent found a solution to adding dynamically created fields to the database - using AHAH and not jquery, not that i can do it in jquery either)

upcoming features in Drupal 7 - node rendering ajax style (if it ever makes it onto core), new database layer

form theming using the preprocess function

If any one has a workflow for debugging drupal would be interested in hearing about it

oh one more thing - nice work stella :)

Hi there

The Teachers Club (INTO), no 36 parnell square has relatively cheap rooms to rent.
They have wifi, not sure about projectors in the smaller rooms.

more offers

heather's picture

so far we also have offers of a space at a few of the unis in dublin from some generous interested people.

i have mailed some of the particulars to stella... but wanted to mention here that we're probably going to get a free venue. this only leaves the matter of catering and incidentals. i'm hoping that we also get free open, reliable wireless as well. so trying to suss out which is the best option for us.

because of the academic locations, we have to work around the schedules. putting in on the october bank holiday weekend, or the following weekend isn't very good- as this is a mid-term break for some.

november 8th looks good.. how is it for other people? please vote!

+1 for Nov 8th

alanburke's picture

Nov 8th should be fine for me.

Lets set a date ASAP, if possible.

It easier for people to plan.
Its a outside bet, but a few people might hop across the Irish sea if they had enough notice - get flights etc.

October 25th Perfect for me

October 25th Perfect for me but November 8th pretty good too, not available until 3pm ish though that day so really really hope that is fine, dont want to miss this

nov 8th sounds good

frost's picture

count me in! could present some features of one or more of the sites i've worked on, will have a look and see what might be useful to others.
would be interested in hearing more about how to contribute to the drupal / open source community, especially how to set up cvs or whatever is needed to contribute a module

Nov 8th sounds better for me

scor's picture

Nov 8th sounds better for me as well. @frost I could present the cvs business / how to contribute to the Drupal community I meant to present in Galway but ran out of time. Plus other things if people are interested. I'd like to see a talk about ubercart (someone in Galway offered but again we timed out).

uber

frost's picture

@scor - sounds great! i could do a very basic intro to setting up ubercart as i've just added it to a site. i am not using some features tho (such as attributes & tax) so only could demo some features. i've actually agreed to write a new discount module for ubercart (with pcambra), tho we havent cut any code yet...

semantic web? pretty please!

heather's picture

Stephane, it would be so great to get you to present on Semantic Web, and your neologism project. I think it's so freeking mind blowing and cool. I think it would be an eye opener and interesting for people from outside of Drupal as well.

Maybe we can keep the presentations brief, so we can get a variety... because... if you can bear it- I'd love to see you present on using CVS as well!

Will need to talk to Stella soon to nail down a date and location.

There is a voting thread, which I should have linked to, please do add your vote if you didn't get a chance.

Any update on Venue and date?

alanburke's picture

Hi Stella, Heather,

Any progress on a date and venue?

I ask this because a mistake we made once, was leaving it too late in deciding both a date and venue.
That meant less of chance to promote the event.

Once a date is set, People can commit to attending, we can draw up a rough schedule,
and then start spreading the word.

Once thing I've realised, only lately, is that there are quite a few potential attendees, who won't see Drupal.org, Groups.drupal.org etc, and we ned to try to get the word to them, in plenty of time.

exactly! been trying to pin

heather's picture

exactly! been trying to pin down a date and location this week. i have one location confirmed, but we're waiting to hear back from one connection stella has (they responded to her first). they are super busy planning their own conference for next weekend, which explains the delays.

my last update (above, 14 sept) explains a bit more. but i'm hoping to get some news after this weekend.

i've made a few posts in creative ireland, boards, and IWF (based on some suggestions). might be a few takers from there.

i have no ideas of the numbers. when we get a location we can put up an official invitation to collect numbers. of course this means we need a flexible location, in case it gets popular. one idea is to have a big location for starting presentations, then break-out sessions.

i don't want to lose the casual meet-up feel though. should we limit numbers?

I would be interested in attending this, though couldn't present on anything as I'm very new to Drupal.

8th Nov clashes with ILUG AGM - Need new date?

stella's picture

Ok, well I'm not sure the 8th November is good as it's the same day as the ILUG (irish linux users group) AGM. It's going to be held in the IFSC and will be from noon til late. A lot of potential bods who might want to come would be going to that. It's one of the big events in the Dublin OpenSource year (IMO). The date of the ILUG AGM has been agreed upon, just not announced yet by the way.

I'm now thinking that the 15th November would be better. I don't want to go any later though as it'll be too close to Christmas, etc. Moving it to October won't give us enough time to prepare and the 1st Nov is looking less likely because DIT students are on hols (and many are interested in coming!).

However 1st November suits DIT better, but I think they can still do the 15th.

Also, if we move it to 15th November, we might be able to remind people of our event at the ILUG AGM.

Thoughts?

I'm still easy on the date.

daniel.hunt's picture

I'm still easy on the date. I live in Dublin city centre which makes this relatively easy for me to pick a date to "travel" ;)

As long as Oct 25th is out,

John has a great presentation, which he gave in Galway... it was brilliant. Shows a module being written and best practices, very clear step by step. And I'd love to see it again.

What are people doing for accomodation? Are we all going to try to get into one hotel close to the venue?

Any recommendations?

stella's got some info about this that she's going to post.. and if she can't get to it, i'll look into it on tuesday!

dev track?

scor's picture

Do we have enough attendees/interest to have 2 tracks? Since we have extra rooms available, maybe it makes sense to have a newbie track and a dev track?
Following up on my presentation on how to contribute to Drupal, I could do a hands on session for people interested in creating their patches and submit to drupal.org issue queue. (Don't forget your laptop!) How can we break down the current list of proposals in 2 tracks? maybe 2 tracks in the morning and 1 track in the afternoon? or the other way around? or just the time of a session? so far it seems we have more dev sessions than newbies sessions. plus I'm sure some presenters of the newbies session might be interested in the dev sessions too!

I'm aware that we have alot

heather's picture

I'm aware that we have alot of 'potential' Drupal users coming- people for whom the developer sessions might be too detailed.

Besides those already registered, we have approxomately 20 master's students coming to learn about Drupal; some are looking for research topics. We also have people who may have installed Drupal circa 4.7 and have not used it since.

Stella and I met over the weekend and went over some details about the schedule. I'm sorry we were both so busy we didn't get a chance to relay back some of the details. We need to establish a good introduction to the Drupal for the day, from a general point of view. Then move into the detailed hands-on or demonstration sessions. This makes sense, as the first room will be quite large.

This means starting with: What is Drupal (the software, the community); the purpose of the event, etc. I see Alan has listed himself for the Drupal basics, which would fit into this nicely... however I am aware it is his birthday the night before, and he might not be in Dublin on time for 10am.

Scor, that was a great suggestion to make a wiki page! I have posted one here, and made a tab for it.
http://groups.drupal.org/node/330/planning08

Anyway... I have drafted the schedule up. I have just lobbed things in, and I look forward to feedback, or people filling in sessions I may have missed.

I am open to changing the session times, and lengths of presentations, but we should keep the break times in place.

Other updates in case you didn't notice:
* Lovely DIT is providing catering for tea breaks and lunch!! This is great because some of the most fun is going to happen during the time we're mingling.
* Lynda.com is giving us coupons to sample their professional Drupal training videos; and one DVD to raffle off- a $50 US value, woo woo!

That's great Heather! I've
