DrupalCamp NJ 2013 Planning

Despite the temperature outside, February will be here sooner than we think and so will DrupalCampNJ 2013. Please join us for the first [of many] planning sessions. This event will be the hour before our monthly Drupal Meetup, which will take place August 9th at 6pm in the Friend Center on Princeton University's campus [1].

Here is my proposed agenda items, I am open for suggestions:

a) Overview and introductions (5 minutes)
b) Archiving DrupalCampNJ 2012 site (10 minutes)
c) Redo current site (COD D7?) (10 minutes)
d) Finance overview (5 minutes)
e) Brainstorming ideas (30 minutes)

In term of what's missing:

We made the swag by hand, so it was cheap money-wise, but time consuming. t-shirts would have been much more expensive.

We paid only for some labor and table rental for the venu at Princeton - that saved a lot compared to paying the full cost for a venue.

Also, the badge and other printing & folding was done in-house mostly by IAS, worth at least $500 in-kind.

Count me in!

We are having our first child soon and he may be here by then so that may affect plans but otherwise count me in!

D7 COD

Got this in email from Ezra:

COD for D7 is in progress, with the work happening simultaneously on the feature modules and the underlying registration system.

The DA has provided some funding to move this forward, but most progress has happened as a result of volunteer work. Assuming it continues as such I suspect we'll have a pretty robust Alpha in August, with work on the registration system happening roughly Sept/October.

Would it be kosher to allocate a portion of sponsorship $ for the camp to COD development? If only a few of the camps did that they would have more cash to work with.

Drupal camp ideas
Coffee ran out last year, need more
Space for lunch was somewhat limited, but worked with the E-quad cafe
Registration limit should be 250 (200 paid, approx 50 organizers/sponsor tickets)
Sponsor rate structure (silver, gold, platinum)
We should explicitly define sponsorship benefits early to help solicitations
Drupal association will hold funds? Changes 10% for overhead.
Format of last years camp worked out well
Possible to have a summit uncoupled from camp
Summit Friday, camp Saturday, sprint on Sunday
Start with three tracks at camp and bump up to four depending on registration and speakers
No voting for sessions - pick by committee
