Planning meeting for the 2nd DrupalCamp NJ in February 2013. For notes from prior meeting see

At this meeting we'll make the 1st pass at organizing the program, finalize swag, and generally kick off the final rush of activity up to the event itself.

FRIDAY - Training
1. Start to think about the food for Friday so we can get that order in to Restaurant Associates.
2. I need to know at least 2 weeks prior the amount of attendees per room so that the rooms can be configured properly.
3. Banquet tables as well as setup and clean up are included at no additional cost.
4. Servers will be needed for the amount of people we have - that is an additional cost.

SATURDAY - Camp
1. I saw the caterer over the weekend - they are still working on quote for Saturday's food.
2. I copied and cleared out old names of volunteer list. Please update as needed and have people sign up. I would reconsider how we break down the registration times. Perhaps last year's registration table blocks were too long?

3. Same setup and banquet tables are being ordered as last year.

I thought the way that Michael organized the badges for signup last year was extremely helpful.

For the Saturday catering, we discussed having some kind of food (like cheese and veggie platters) to encourage mingling in the 5-6 pm hour. Is that something the caterer could provide?

Sure. I can have the caterer add this to the quote. Will this food period take the place of the afternoon (2:30pm) coffee/tea service? Meaning - should the coffee/tea service be delivered later and served with this food?

@Jill - we will still want the afternoon coffee for sure, so this would be in addition.

I'm not sure what kind of beverages would make sense (if any) for this 5 pm hour. Certainly nothing hot.

2 Questions - and I can't be @mtg 2nite

Hi -
Sorry, I can't make the mtg tonight. I haven't been helpful yet, but:

1) I will be an attendee on Feb 2, and taking training on Feb 1. But, if there's anything kind of one-off thing I can do, please let me know, or just text me during day to run an errand or whatever?

2) I unintentionally double-booked my training for Friday - should I just have amex take it off my card? There was a redirect error or something and I didn't know if the first commit had taken til it was too late.

Will give Gold and Platinum sponsors a chance to take training spots and then will open up additional spts and 4th class (beginning module development) next Monday.

Per discussion at the meeting - for 5 pm on Sat we'll omit food and instead get people to go back into the auditorium and do a short closing session including promoting the regular meetup, the sprint on Sun, etc and maybe give-aways (books or ?)

500 camp badge sticker
1000 Princeton tiger stickers
~230 hats from with embroidery

Cutoff - Jan 21st for sponsors to appear on the printed program. Want to have the full week before the camp to print and assemble badges to avoid any late nights.

printing needs:
badges
name stickers
11x17 sign for outside each session room with that room's schedule.
last name letter ranges for registration.

Have inquiry out about after-party venue and costs.
