Volunteers
We need volunteers to help us make this event happen!
Organizers
We need some people willing to meet at least a few times over the summer/fall to work out some important questions like when and where it's going to happen.
OpenPlus.ca could commit 3-4 people both prior for planning and to volunteer, I also think a few people at uOttawa would want in to assist.
Website
The domain name DrupalCampOttawa.com has been reserved for the use of the camp but it needs someone to actually make it happen, perhaps using the drupalcamp distro that's available.
OpenPlus.ca would be open to building & hosting the site - We did it for the WxT Codefest site also
Participants
On the weekend of the event we need people to (1) welcome people, (2) collect payment and hand out t-shirts, (3) introduce panels, (4) answer questions (5) participate in presentations, panels and hands on sessions.

Thursday February 21 to Saturday February 23, 2012 [it will likely be two of those three days, precise dates to be determined]
Sponsors
We should probably approach a few sponsors for the event so that we can organize things like t-shirts, food, coffee and maybe venue. The Drupal Association has also been known to kick in money to fly in speakers for camps, so that's another possibility.
CosCoe.org should be able to get a few sponsors for certain, including OpenPlus.ca

Depending on numbers.... I am involved with a gallery - g101.ca that I am sure would be willing to donate space for the event.
Probably suit 20-30 people for single sessions - and they have projectors.

Hi all,
We might want to consider buildamodule.com mentored training in a room, if we're interested in having a section for those new to Drupal (and site builders rather than just developers). I'd be happy to take that on, as well as helping with the more conference-y stuff (registration, etc.). I went to one during DrupalCon in Denver, and it was really helpful.

I thought of this also. I think it will have to be 2013.
Also, we'd have to discuss what/how we plan to sell things. Although COD7 is out - it's in a catch 22 state because certain modules (signmeup - which were Ubercart, are all migrating to commerce). Hence, if we just sell a simple collective pass or two + t-shirt (I know Gifford likes the t-shirts) - then it's not an issue. (session selling and weight lists - a bigger factor).

Dates and Location at uOttawa
Alright folks, I'm trying to firm things up on our side, but if we are going to use uOttawa's 200+ auditoriums and break-out rooms, it's gotta be February 21, 22, 23, 2013 as this is study week when the auditoriums will be available.

I think the attendance will get up there. (We will promore the event at GTEC - think it might even sell out at 200). The timelines you suggest are perfect, and given the set-up you guys have - I don't think we should be too picky!
We should put those dates on reserve now unless there is a major issue from another partner. That said, we know we wont be able to please everyone.
We discussed a Friday and a Saturday in our last meeting (but might be good to keep the Thursday - 21, in there as an option).

Did you want to work on sponsorship or should I get started? I could prepare the sponsorship packages etc. and eventually it will be good to get help from the whole team depending on who has contacts in which company.
Also if we have any design / logo done already I could incorporate that in the sponsorship brochure.
