Hola a todos, les comparto la prouesta que envíamos a la asociación Drupal como propuesta para el DrupalCon Latinoamérica.


BOGOTA Analysis

  1. Ticket price
    What could we charge for event tickets? What is typically charged for a 3-4 day tech conference in Bogota?

There is no typical history, besides the Campus Party: $125 USD - 5 days, this event is one of the biggest technlogical events on the region. We believe that, given the advantage of Colombia as a Hub for Avianca and the cheapest costs of traveling from all the different countries, the tickets can be in a range of US$150 - US$250.

  1. How much in sponsor dollars do you think we can secure? We need to know all income possibilities to understand financial viability.

We have talked with some companies that have shown some interest in sponsor an event of this kind and Quality.

  • Diario La República
  • Casa Editorial El Tiempo (biggest newspaper in the country)
  • Tigo (Big Mobile provider)
  • Caracol (TV and media, one of the two biggest)
  • PayU Latam (E-commerce payment gateway for the whole Latin America, Headquarters in Bogota)
  • Avianca (Biggest South American Airline)

We believe it’s possible to gather around US$10K to US$20K, being conservatives.

  1. Hotels
    • What are some larger hotels that could accommodate a 3-4 day conference - with at least 10 rooms for sessions/bofs each day and a room large enough for 500 person keynote?
    • What is the cost of a hotel room, and what would the venue charge for meeting rooms - is there a food and beverage minimum?
    • What is the internet bandwidth at the hotel, and how much would it cost for 100MB? You mentioned potential partnerships for internet and mobile services - can you get costs on this? As you
      know very fast internet for the entire conference is critical, and I need to understand costs.

This is without any kind of negotiation, discounts or Marketing strategy. Can be better and we are using the highest prices to paint a better picture.

Internet can be handled with an Agreement, 4G providers and Internet Providers are the same in Colombia.
Already talking with ETB, and Contacting others providers to explore this possibility.

  1. Should the conference be during the week, or over the weekend?
    During the week is the best option, people can use the weekend for their needs or entertainment.

  2. Travel deals? Can you look into what we might work out with airline deals?
    We are contacting Avianca directly. But on MSRP Prices you can see:

Since Avianca’s hub is in Colombian, most spanish speaking country in south america can get there for something between 300-800 dollars(buenos aires)
central america and mexico would be on the same range
US can be from 300 to 1200 on other airlines
Brazil average 1000

We have contacted AVianca and we are waiting the regular channels to give us an answer.

Hotels, 4-5 stars you get for in between 100-200 dollars a night

I also believe that we need a big foreign presence, that way latin american developers get to meet the most famous names, have opportunities to network with Foreign companies, and these companies can have access to a source of developers that is much needed now a days.

  1. In order to pull this DrupalCon off, I would need enthusiastic volunteers. Here is a list of some areas we will need help in:

    • Site visit coordinator - (If we select Bogota, I will need someone to research and set up meetings at a couple hotel options. This site visit would be in Late July/ early August of this year)
    • Marketing - helping us get the word out through local channels and find the best opportunities to announce the event.

    • Securing local contracts - someone who can work with me, and translate to handle contracts with hotels and vendors; printers, hotels, caterer, signage company, etc...

    • On-site room moneficnitors
    • On-site registration help
    • On-site translator

Can this volunteer have a special discount or benefit? That will help contacting and getting students to do this. We have a community ready to help. So volunteers may not be a problem, better if they get some sort of benefit.

In any way we already have a list with over 20 confirmed Volunteers for every area, including design of the logo and website. This without any confirmation of the event, so it can be improved.

  1. Fiscal sponsorship - we will need a company or entity that can run our financial transactions through it, so we can easily make payments to vendors and collect money from attendees. I will have more information on specific needs down the line.
    • If you have a company, and can provide us contact information for an accountant and attorney - we can do more research directly with them on this topic

SeeD is one of the Drupal Companies with the most activity in the local community and an sponsorship of the past Drupalcamp editions Colombia as we don’t have an association yet, SeeD is very interested to help us on that.

We are ready to create the Colombian Drupal Association, but as discussed, for timing we propose SeeD. Being a well established company can help in all fiscal matters.

  1. Design - Is there a possible web designer who works in Drupal who would be interested in donating creative for:
    • Logo design
    • Theme Website
    • Design signage
    • Design t-shirt

We believe that a professional design is between US$1000 to US$2000 and will be faster and more professional when it comes to negotiate and offer sponsor spots.

  1. Content / Speakers
    • Who do you know of locally who could present at DrupalCon and what is their area of expertise?
    • Are there certain tracks you feel would be most beneficial to offer? In other words, what are the "hot topics" we could help round out the community's education in.

We have had wonderful events in Latin America, I think that it will be most interesting to see the “Rock Stars” to make a difference and to use the novelty as a tool to make the event more desirable. We have a great number of beginners and intermediate users, and E-Commerce is growing strong in the area. And of course the local stars should be there.

G.D.O probably filtered the table formatting away from the venues information. I'm particularly interested in knowing how many people can those venues hold, in order to see how big can we make the DrupalCon. Fixed prices, such as venue, internet, design and site development, all can be divided among ticket sales and make for a better deal.

BTW, Brazil's proposed venue recently won an award as the best large-event venue in Brazil!
