Our 4th Planning meet for DCM2015 was held on 28th Dec at 11am, I am sharing the meeting notes below. Please feel free to add your queries, suggestions, ideas in the comment section

Meeting Notes

  1. Website Updates -
    1. Gobi to share his update on DCM website. 
    2. Sagar could help here by providing Drupal 8 resource if there is a requirement 
  2. Sponsorship Updates -

    2. Uddhav has connection with iGate Drupal team and he has proposed to connect us with iGate team to have sponsorship discusssion with them.
  3. Logistics Updates
    1. Logistics team will be visiting IITB venue in first week of Jan to finalize the logistics requirement 
    2. Vendor reachout and selection process is in progress
    3. Logistics team to give input on finance requirement for Logistics to Finance team 
  4. Finance Team - We discussed the need of clear owner for finance. Roles and responsibilities are mentioned in DCM Blueprint document 
  5. Hospitality and Administration team We need someone who can own this to drive all administrative and hospitality related works during the event 
  6. Communication and Publicity  - 
    1. We spoke about the need of dedicated person who can take the charge of strategizing the communication, specially the social media communication.
    2. Sunthar has reached out to different colleges in Mumbai and outside to seek participation from Student community and Faculty
  7. Expert panel reachout
    1. We have reached out to Drupal experts and community leads in different regional community to form a panel of experts.
    2. Expert panel will be planing a very important role as advisory group for different activities happening in DCM and Drupal Mumbai
    3. it would also act as committee who will take the joint decision on accepting the proposed session
  8. Speakers and Sessions - We have reached out to all well known speakers within India, asking them to participate in DCM and also if they can take up the featured session.
  9. Satish Aacharya showed interest in participating and becoming the part of working group, Rachit briefed everyone on current structure and roles which are open. Rachit will share the current structure of organizing team with community asking for community members to come up and takeup the roles and responsibilities based on their expertise and interest area.
  10. Rachit will post the DCM organiging team asking for community members to take up the vacant roles - Checkup for the open roles here

Discussion Points

  1. DCM Program Structure input from community - 
    1. Final program structure was presented to everyone for their feedback, ideas and suggestions.
    2. Based on the feedback from the community members and SPOCs, i have created a temporary document making changes as per the suggestions given by the members, document is shared here for community review - http://goo.gl/hDGQH4
    3. I am listing some of the feedback here which came during the meeting 
      1. Change in time for Lunch to 1:30pm 
      2. Adding a tea break between the session for post luch session 
      3. Registration to be open till lunch 
      4. Having two paralle track of workshop will be too much, participents will be confused and there will be uneven participation
      5. How can we make Day 2 more productive , maybe we can move some sessions and workshop on Day 2 as well.
  2. Discuss Megan's visit 
    1. Megan would be visiting Mumbai for DrupalCon site inspection, She will be accompanuied by an event planner.
    2. We disscussed on if we can form a small team who can move with Megan during her visit to site.
    3. We discussed on 18th Jan, Sunday Meetup with megan, Event is posted on GDO Mumbai.
    4. Rachit suggested the idea on having organizational leads to give brief presentation on the state of Drupal within their organization. Could be 30 mins presentation, we can have TCS, Capgemini, Blisstering, iKsula IIT B come and participate. Other community member liked the idea.
    5. Satish, Uddhav, Sunthar were in favor of having IIT B as venue over other private spot, As it is well known location, Easy to locate , and in sync with larger picture of having IITB as center for all Drupal related activiites.
    6. We all also discussed a need to have a call with event planner to understand how site visit is planned and take a call on how best we can involve the community here.

I move for a revision call on this in the new year.

Perhaps it has not been articulated well, but Rachit has decided to take so many important topics at the Dec 28 meeting, esp when most of the active people in the Drupal community were on year end retreats or holiday! This is against the spirit of collaboration and community.

For instance: 6: Communication and Publicity -
1. We spoke about the need of dedicated person who can take the charge of strategizing the communication, specially the social media communication.

I believe this would not be represented well without the participation of the owner of this task..

This is just one of the many examples on how the Drupal community in Mumbai is not being served well at this time by some people violating the basic Drupal Code of Conduct.
