How To: Florida Drupal Virtual Meetups

Interested in hosting a virtual meetup for the Florida Drupal community? Here's what you need to know!

WHAT THIS IS

  • We host our meetings via Zoom, a free meeting tool.
  • All meetings are open to ANYONE (Floridian or not!) to attend.
  • Presenters are members of their local Florida meetup group, and meetups take place on the day of their regularly scheduled, in person meeting (1st Thursday of the month, 3rd Tuesday of every month, etc).
  • Full meeting schedules and login information will be posted here in G.D.O. and via the FLDC Twitter account.
  • We rotate between the active Florida meetups every month, so as not to overburden one group.
  • All meetings are recorded and then uploaded to the FLDC Youtube page, with automatic transcriptions provided via Youtube.


GETTING STARTED

If you are part of a local Florida meetup group and want to host a meetup, please contact Adam Varn (hotsaucedesign) via email with your proposed date/time AND meetup topic so that we can schedule accordingly. Generally, 1-2 months notice is preferred but we can be flexible!

After your date/time/topic is set, presenters are expected to prepare by doing the following:

  • If you haven't already, register and download and install Zoom from the Zoom website. You only need the basic, free account - FLDC will share with you the login information needed for your meeting and/or add you as a presenter.
  • Please check your equipment for your presentation - you will need to have a working camera, microphone AND a strong internet connection to stream the meetup!
  • Presentations should be ~60 minutes in length, though a little longer/shorter is ok!
  • If possible, please also have your presentation materials (Google doc, PDF, etc) available for later download by attendees or those who missed the meetup.
  • See if someone from your local meetup can assist with fielding questions during the presentation. Attendees will be able to login to the #florida channel on Drupal slack (get an invite) to post questions. If you are presenting by yourself, please allot time at the end for questions if you can't answer as you go.


BEFORE THE MEETING

All set and ready to present? Help us out by doing the following:

  • Promote it! If you have Twitter, please make sure to promote and tweet about your (or your groups) presentation starting a few days before the meeting, with a couple tweets the day of. Tag your meeting with the hashtag #fldrupal
  • Someone from FLDC will reach out to confirm you are ready to go a few days before and the day of your meeting and to assist with any technical problems or answer any questions.
  • Have fun. Relax! It can always be daunting speaking in front of others, even if it's virtually. Remember that everyone attending wants to hear what you are speaking about and that they are there for you. Don't worry if you say something wrong or forget something, we are all lovers of Drupal and are here to help!

 

AFTER THE MEETING

After you do a great job with your presentation, there are a last few things to finish up.

  • Zoom will provide you with a link to download a copy of your meeting. Please do that locally and save the file, as we are limited in storage space on Zoom and don't intend to host meeting files there long term.
  • Someone from FLDC will provide you with the login to the FLDC Youtube account. Please login to Youtube and upload your video, adding a full description of your topic and a link to your presentation materials (if you need somewhere to host those, let us know!). Videos can be set to public.
  • Youtube will transcribe the videos for us automatically, but this is not always perfect. If you find errors in the transcriptions, let us know and we will walk you through how to make edits
  • Tweet out or post on G.D.O. a link to the video of your presentation in case someone missed it but wants to review.
  • Thank you for your help in growing Florida Drupal!
