Minnesota DrupalCamp: Hold it in the Summer Instead of the Dead of Winter?

So, we've narrowed in on a couple of possible dates for the Minnesota Drupalcamp, one date in January, one in March. I know this time was basically deemed most convenient by the majority of us, but I wonder if we might not consider pushing the event out to a spring or summer date.

I think there are a few reasons why our current timing is problematic:

  1. Regional camps tend to provide an alternative for those who can't attend Drupalcon, typically for reasons of cost. Given that the North American Drupalcon will take place in Chicago right about the time of our camp, that rationale is somewhat diminished. Summer is the time for the European Drupalcons, and not many of us seem to be attending those. So it seems more logical to me to hold ours around that time (not at the same time, obviously).
  2. It might simply be nicer for participants and speakers to space our event out from Drupalcon for a variety of reasons.
    • [EDIT] Employers might not fund two related conferences this close together, for example, if we decided to charge a fee.
  3. Joking a little bit here, but it IS freaking cold here during the winter, and asking people to go outside for food and/or beer at that time of year is just cruel.
  4. Pushing the date out would give us a lot more time to pull together a successful camp. Suddenly, we'll be way ahead of the game.
  5. Summer tends to be a slow time around the U (not for me though!), so scheduling locations might be a bit easier.
  6. We could still put together our code sprint bus for Drupalcon Chicago even without the camp!

Some folks here at Drupalcon mention that they had been approached about presenting at this conference, and were pretty down on traveling to Minnesota in the dead of winter. Presenters don't get much out of presenting outside of their city, besides a chance to see new places and catch up with old friends. If that new place is Minnesota, and it's doing its -30f thing, it's just not an appealing destination. Best to shoot for a time when we can show off our lakes and parks! This also goes for non-presenters who might turn up.

Meanwhile, Advantage Labs would love to pitch in as much as we can, but that's just not going to be possible for January. December is notoriously busy, with travel plans, holidays and year-end deadlines. Introducing planning and followup into the mix will be hard for everyone involved. Then, the next thing on the horizon is DrupalCON, and I'd really like to be rallying for that.

Glad you mentioned speakers

I was having that conversation with someone this morning too - we've actually had speakers for library events outright refuse to speak in the winter, even for paid gigs. For the reasons you mention, it'd be an even harder argument for the people we'd really like to recruit to come speak.

If we do this thing sometime in the summer, I imagine we could also put together some really cool off-campus evening events, like outings to Uptown on Nice Ride bikes (do they have Nice Ride racks over there?) and such. And, it seems like just about every weekend there is a festival or other sort of outdoor event with fine local beer during the summer months. It could be a real eye-opener for our guests.

The availability of Advantage labs staff is kind of a critical factor in any case, IMO, so that in and of itself might seal the fate of our January date. I suppose this will be topic #1 for the next meeting.

Fair

Well...I'm a big fan of winter here and would love to show it off. But, y'all make some decent points.

However, I'd definitely try and keep this event at a separate time than DrupalCon Chicago. I live here and don't think I'd have the juice to participate in two events back to back.

What about an end of summer event. Know what's got to be one of the most seasonally awesome things about the Twin Cities? Minnesota State Fair! Hold it right now in 365 days and we could arrange a couple outings to the fair. Drupal on a stick. (I'm dead serious.)

Lots of plusses to a summer date

I like the idea of scheduling the camp concurrent with the state fair -- that would be the weekend before labor day, August 26-27. Weather-wise, this time of year is most likely to be gorgeous.

One possible negative: How many potential participants reserve that week for out-of-town vacations -- the last chance to get out to the cabin before labor day?
