It’s that time again: DrupalCamp 9 is happening in its usual home at Polytechnic University in Brooklyn on April 30, 2011! This camp will follow the unconference format, with content suggested, selected, and scheduled by participants at the camp the morning of April 30. Pre-camp discussion will take place on the sessions page, to get the ideas flowing.

NYC DrupalCamps are free or low-cost events based; thanks to the generosity of our sponsors (please support them!) DrupalCamp 9 will be FREE!

Last camp’s fundraising was enormously successful, resulting in leftover funds to cover the costs of this one. However, we are still collecting contributions for the after-camp social event and for future events. Scroll down a bit to see what sponsorship opportunities are available this time around.

WHAT IS DRUPAL CAMP?
Modeled after the BarCamp unconference structure, DrupalCamp is a no-holds-barred discussion, workshop, and code-a-thon involving the free software content management system Drupal. At DrupalCamp, you ask the questions and the experts provide the answers—you discover solutions to your most pressing Drupal problems. Like previous DrupalCamps, there will be a number of breakout rooms for birds-of-a-feather style groups.

Sessions / Schedule
If you're interested in presenting at the camp, or have problems and questions that you would like to see someone address at a session, visit the sessions page and add your idea.

In the unconference fashion, sessions are selected and scheduled by all attendees on the day of the camp.

Free Food!
In keeping with DrupalCamp tradition, we provide bagels, muffins, coffee and juices for breakfast, and some oh-so-delicious pizza for lunch. We always do our best to provide vegetarian (vegan if requested) options.

Sponsorships
We raised enough funds from the last camp to cover costs for DrupalCamp 9. (Yay!!) DrupalCamp 8 sponsors will be recognized again at this camp, as their funding carried through and is also paying for DrupalCamp 9.

However, we are still fundraising on three fronts:

  1. We are reducing the minimum sponsorship to $100 at this time, making sponsorship accessible to a wider range of organizations that may not have been able to make the minimum sponsorship last time around.
  2. We are seeking sponsors for the after-camp get together. Location TBD.
  3. If you would like to contribute to fund future events, you will have the opportunity to do so when registering.

Jewish Holidays

In the future, could we avoid making tickets available on major religious holidays? I was preparing for, and taking part in, Passover on both Monday and Tuesday. It was sold out on Wednesday. I know Jewish religious holidays aren't at the forefront of most people's minds, and even if you looked at the calendar you may not have known it was the first night of passover (and thus most Jewish folks spend the day preparing for the night's 'festivities') since most calendars list the first day of the holiday, while Jews use a lunar calendar (thus holidays begin the night before). but it would still be great if we could avoid the appearance of a bias.

BTW- happy pesach everyone! This year we are here, next year in the land of Jerusalem at DrupalCamp.

The Jewish holidays were explicitly taken into consideration when the decision on when to open registration was made.

I posted an announcement on the 12th http://groups.drupal.org/node/141719 that registration was going to open on the 14th. Registration for the camp opened on the 14th at noon Eastern Time and was sold out by the end of the day on the 15th.

Passover started on the evening of Monday the 18th, 3 days after the event sold out.

The way the event registration system we're using this time (eventbrite) works, if someone registered for the event cancels it opens a brief time where the first person on the waiting list can register. It is possible that some of those time periods happened during the holiday and by the time the message was read the slot had already been given to someone further down on the waiting list, but other than that, I do not see where the holiday, starting at sundown on the 18th and the opportunity to attend DrupalCamp NYC #9 were at all at odds with each other.

Thoughts on Tickets

I posted this on IRC and thought that I should mention this here.

I am really very happy to be apart of our killa NYC community. When I looked at those who signed up for Drupal Camps -> I noticed that most of the people there are "full time" members of the community.

While this is awesome -> because we all rushed to get a ticket - think that we kinda closed off the opportunity to other people who are not so plugged in.

I want to try to work out a system that the people who are "Full time members" (they frequent the meetup and beers, they are often in IRC, they show up and help out that the Camps) don't need / shouldn't reserve a ticket at the camps.

There might be a legal issue (insurance at the camps) but, really, Alex shouldn't feel that he can't come to the camp. Or an amazing developer and co-worker of mine who is here from Canada this week shouldn't be able to get to the Camp to offer up a session.

I have a basic idea of how this would work : maybe some of us could "sponsor" a ticket - I know that when I come to a Camp, I am there to help out in whatever way possible - so, I would like to offer up my ticket to someone new or outta town in exchange for me helping out at the camp.

Our community is experiencing growing pains ... and that is good; however, because we are the Center of the World (heh) we should always prepare for things getting bigger :)

I appreciate the problem - a member of my store wanted to come, but it was sold out by the time the list I used to notify our members reached digest size.
..but I think Ezra is also spot on in that a solution that is more agnostic in regards to participation level might be more elegant.
As far as I can tell, the pre-announce was 2 days prior this time around. A good first step might be to make that a week advance. Ideally the URL for registration would be in the initial announce (though the page would say "not open yet!", thus not requiring interested parties to come back to find it.

Communication problems...

I think the big problem here is that the NYC community uses two communication tools that most outsiders (and even many 'insiders') don't use: i.e. IRC and the DrupalCampNYC list. If you weren't paying attention to one of those two channels, then you probably thought that tickets were going to be available on Thursday, April 14th, since that's still what it says in Eric's post on the front page of the NYC group. Even in this thread, when I mentioned that I did not take part in any internal discussion about the registration and thus didn't know when the registration was going to open (and neither did anyone else not on that e-mail list), I wasn't given any additional info. It was just plain unfair to those not on IRC or the e-mail list to change the date without telling the broader community. The fact that it was also a Jewish holiday is probably secondary, since I wouldn't have seen the discussions going on before hand. The point is: the NYC community has insulated itself to a degree by using (almost exclusively) non gdo communications, and that's a potential problem (obviously the IRC room has been a point of contention in the past).

And don't worry about little ol' me- I've never been one to let little details get in the way of getting stuff done. See you next week... ;-)

Please re-check your dates

The dates for opening registration, discussed at the DrupalCamp planning meetings and the Camp organizers' mailing list, as scheduled and planned via that relatively open and transparent process, opened up on the 14th of April, as announced two days earlier in the post you link to.

I'm very curious where the misunderstanding has come from that these announced dates were changed last minute with no public notice, and that such a change conflicted with the start of Passover at sundown on the 18th.

I hope we can find some time at the camp to sit down and talk out some of these issues

Sorry, I didn't see that, though I did check here on the 14th and was told it was opening "soon" (not "today). I guess I expected an actual announcement, but you're right that I mixed up my dates. Either way, there was nothing to let anyone know who saw my comment that the registration had opened...

meetup on tix for future camps

I've been observing this thread for a few days. As a relatively new member of the NYC Drupal community (been 'lurking' for awhile but have stepped up my participation in the past few months), I appreciate that there is a core group of people that put their heart into all of these meetups. I have not once seen anyone try to make these events exclusive in the least - quite the contrary, I have felt quite welcome at all times.

I think all of us just need to be realistic about the situation. No matter how the announcement was made (Alex brought up important points about Pesach and also the g.d.o vs. list announcements), at the end of the day, we only had 200 slots to fill. There just wouldn't have been any way to get around disappointing people, now or in the future, without significantly greater resources for larger camps.

As it turns out, there's been discussion about a larger camp later in the year. We've been working hard to get together more sponsorship dollars to expand the camp to allow for more people. I hope that for the next one we can try out some of the great ideas people are putting out here. I'll do my part to volunteer for the next one as well.

Hopefully the April 30th Drupalcamp will be a great day in line with rewarding and enjoyable camps that have happened in the past here in NYC. While we don't have any formal plans to video record sessions, I do encourage all of us to do what we can to record and post sessions for those who could not get tickets to attend.

This seems like a way of differentiating folks who are part of the "in crowd" versus other members. My sense from the meetups is that new folks already feel somewhat different from the rest of the group, which makes me think we should focus more on policies and activities that aim to include new folks. I think first come, first served is the fairest way to make tickets available to everyone.

It's a bummer that Alex and other folks didn't see the signup because they were observing Passover -- We should definitely make an effort to consider various holiday seasons for future camp signup announcements.

@John, How do you see the sponsorship working? could we open up a limited number of tickets who help as official volunteers in areas where we might need help, like checkin? A system like that seems like it could work to me.

Indeed, for several camps over the past few years, we've had more folks who want to attend than we can fit into NYU Poly. Ultimately, we'll need to find another venue to accomodate the local interest for future DrupalCamps.

... about differentiating folks who are part of the "in crowd" versus other members. Something that I don't really want to do; but, I am searching for a way of handling that. Which is why I thought of the Sponsorship thing -> that basically says, "Hey, I will sponsor someone for the Camp by donating some $$$ so that they can come ... in Addition, i'll show up and help out too" Then, it is up to the individual to invest themselves into that role -> no in crowd stuff there. That is my thought. I think that is a win-win situation... because new people will get to go for "free"; I see that as incentive and also an example of our generous / abundant community.

Again, I am throwing this stuff up on the wall and seeing it will stick. If i see a problem, I always try to offer up a solution -> to get the ball rolling.

Completely into that -> heh, may be a "New to Drupal Day" hmmm can we come up with an acronym New e? r? Drupal -> just a thought ... but how many event can our NYC community support -> we have quite a lot :)

Sorry if anyone had trouble figuring out how to cancel through eventbrite, however we did manage to get a bunch of people off the wait-list and on to the attendees list.

We've just sent the final list of attendees to the venue who required it today. Only people who are on that list will be allowed in by the staff at NYU Poly, so it is not possible to transfer your ticket to someone else.

We're already beginning to plan another event later this year, hopefully a larger event, so if you didn't make it onto the list for this one we hope to see you at the next, or at the Drupal Happy Hours, Drupal Meetups, Drupal Playdays, or any of the other events that are coming up soon!

I received a ticket via Eventbrite.. they did notify that spots where open.... YAY!! This is my first time attending and I may be a little late. Is there stringent time restrictions?? Will the university and the group allow people in during the duration of the meetup? I don't want to walk in an hour or two late and be "that guy" if that is the case... i left a box of fliers under the registration/food table for the really really almost done and headed to print Definitive Guide to Drupal 7, but i stayed late at the performance/scaling discussion and when i came down everything was packed up or (i hope not) thrown away.

Haven't been able to find who might have put the swag and, i hope, this box in their car?
