Hey all,

So a few of us were chatting after the meetup about the desire for a more extended Drupal geekout, and thinking about possibilities for a DrupalCamp in town this summer... Someone was saying that they thought there was one being organized for April, but didn't really know anything more about it. Does anyone know if this is true and if so who is organizing?

And if not, since the spring is already so jam-packed, I am wondering if it might be a better idea to organize one for a little later on, perhaps June-ish?

Thanks for posting this, Ariane. You're right. It's time we did something about this ....

I'd like to propose a quick meeting of interested parties either before or after the February Drupaler's meeting. It would be a quick meeting. Mostly just to take down names of people interested in being on the organizing team and setting a time for a real planning session.

And here's a chance for non-technical Drupal folks to make an important contribution to the community: Help organize a Vancouver DrupalCamp!

Chiming in to say that a few months ago i had started bouncing around an idea but had a hard time picking a date with all the other activities and events we are up to.

I will plan to meet up on Thursday to brew up a plan of action starting with picking a date, participant estimate, venue options and budget. I am sure with all the talented and diligent people around we'll have no problem creating an event which will attract locals and out of towners for some geekery and fun.

Drupal Camp Vancouver

Possible dates: March 28-30 (friday ~ sunday) 2008
Find out when other events are (open web, php etc.) to dovetail with

Possible Locations:
Daytime conf: UBC Robson, Workspace, Capilano College, BCIT ...
Evening party sessions: Anza, Media Club ...

Format:
2 day + bonus day?
Booked presentations and free form sessions plus evening group events and world-wide interaction
Possible Keynote? to set tone and kick off

Conference ideas:

* Combination of structured track presentations and time allocated for "free-form" dynamic-drop sessions being smaller, focused workshops
* Have some "speaker's corner" type area for people to chime in with opinions

Wow, that's awesome Dave--looks like you've already put a lot of thought into it, which is rad! :-)

The only thing I'd really want to contest is the timeline (and I am well aware that the world does NOT revolve around me, as much as I might like, so feel free to say STFU...), as I know that I am not the only one feeling a little burnt out. And as you know it's going to get busier before we get a break--NV is this week, DrupalCon the following week... Open Web in mid-April. As much as I understand the motivation of wanting to time it alongside another event(s), I think it would be fabulous if we could all have a bit of a break before tackling this, so we can digest some info, refocus, and whatnot.

I was going to suggest June, but maybe a compromise might be early May? I think it may be best to democratize this somewhat and maybe pick a couple possible dates that work for people who would end up doing the bulk of the organizing and then take a vote at the meetup (or something along those lines).

Thoughts?

Will read through your notes and try and do some brainstorming before the meetup next week too... See ya soon!

Dave: Very cool! Your notes make an excellent starting point for discussion.

Thursday at 6pm is planned as a quick meeting to take names of interested people and set a time for an in-depth meeting. If people are interested in DrupalCamp discussion after the Feb Drupal meeting I think we've identified a couple places that can take a (large) group on a Thursday evening.

Hey there fellow Drupallists, I'm just new to this group, was very suprised to see a Vancouver-specific group here, and now I'm all excited. How can I become more involved with the local Drupal scene? And more importantly.. Does anyone need a junior developer, part time? I work free lance, and just need to feed myself between projects. I've looked at the job offers, but everyone seems to have really high qualifications.

So Is this workshop a great place to start?
Or do I need to be a Raincity/Bryght Elitist? Do they Hire? Lol.

the vancouver group is a great opportunity to meet the other drupalists and get a chance to pick up tips from each other.

the bryght/raincity crew has done a lot of hosting and nurturing of the meetups, I don't think anyone will keep you out for not being elite

you might just want to post a new "discussion" to the vancouver group introducing yourself and mentioning that you're looking for work. and probably the best way to connect with the drupal peeps in town and hook yourself up with some work is to start coming to the drupal meetups, last thursday night of the month (ie. there's one this week) and introduce yourself around! (there's a post for the event on the vancouver group page).

I'll see you on Thursday to talk more - but in case i am late (I am filming a Lab with Leo segment that afternoon) ... suffice to say Raincity Studios is on-board to coordinate as needed (dareisay organize) and otherwise do what it takes to make Drupal Camp Vancouver happen - and be exceptionally useful and fulfilling. With all of us working to source the key elements necessary for the event, i am sure we can pull it off!

Top three things we need are:

Date: May? A Friday/Saturday event?
Venue: Depends on how many attendees we expect - thoughts? contacts?
URL: Set up a site like BADCAmp had perhaps? what url? wiki?

If we can figure those three out, we'll be well underway to a rollicking success.

re: Dates--May, I think that would be great, BUT my best friend in the world's wedding is the weekend of May 17th in Saskatoon, so if there's any way it could NOT be that weekend, that would be great, cause I'm not going to be here!

re: Venues--hmmm....downtown? Yeah, I guess it depends how many people. I really loved that place in Seattle (Hugo House)--is there anywhere like that here? Otherwise, Workspace? Is SFU/UBC's downtown campuses hard/expensive to book? Will see if I can find anything interesting looking today while I'm home...

Talked to Bill--he said it would be cool, but we can only get in there Fri night or weekend days (so not Friday during the day). Would be about $1000/day depending on sponsorship and whether we wanted to book the entire place. Can hold about 150 people.

SFU Harbour Ctr

Wireless internet, variety of room sizes--classrooms have pretty reasonable rates, relatively good availability, close to transit.

Roundhouse Community Ctr. (Yaletown)

Talked to Joe--availability is getting tight, wireless internet, relatively close for transit, rooms to fit 30, 40, 80 people rates btw 37-53$/hr for those (incl tax)--this is the private rate (ie. not non-profit, but cheaper than commercial).


Would it be really weird to do Fri day or afternoon at SFU or Roundhouse and Sat all day at Workspace or something like that?

I am not sure how many people you are looking to fit but the Scotiabank Dance Centre also has a boardroom and other rooms on the top floors for bookings. (As a member I may be able to get a rate reduction as well). And there is the Wosk Centre right across the street from SFU, I believe the Delta handles all the booking information. I am not sure how pricey that would be though.

Let's investigate a few more but i think this is a great start and no, i don't think it odd to use multiple facilities (perhaps even a combo of Workspace, Raincity, Six Acres and other Gastown offices if needed ... ) - as long as close to transit and equipped for heavy geekery. Anyone have contacts at Capilano College or SFU downtown, or BCIT?

PS Yes Ariane, we'll keep you in the loop if you can't make it.

I can look into possible venues at UBC if people are interested. It would mean a bit of a commute from downtown, but we'd be well equipped in terms of connectivity and such, especially if I can get room bookings here in the computer science building.

At this point nothing is off the table. Distance from everything is a definite disadvantage of the main UBC campus. UBC has downtown facilities, too. Those are of definite interest.

Mini Wrap-Up from Last Night

Dave O. is going to post a more complete summary, but here are some basic details to whet your appetite.
- Lots of interest for a Drupal camp
- The first week of May is the tentative target time
- Good wireless support important
- Preference was a two day conference
- Some discussion about two weekdays (e.g. Thu/Fri) or a Fri/Sat combo
- Definitely not Sat/Sun! I sensed more interest in a Fri/Sat, will see how this evolves
- Definitely two tracks, perhaps three
- Definitely a non-tech track
- Definitely theming/developer sessions
- Other interests: "Barn Raising", E-Commerce, Educational/Edu-Bloggers

Location and infrastructure (website, etc) are the two immediate things to deal with, so keep those location suggestions coming! If you can do some initial legwork, that would really help.

Our requirements aren't set but look something like:
- 2 or 3 rooms (tba) holding at least 20 to 30 people
- 1 of those rooms large enough everyone
- excellent wireless
- excellent transit access
- Available 1st week (or perhaps 2nd week) of May

Hi guys,

wading in on the discussion for location here. Having worked at Vancouver Film School (VFS), I know they're into supporting local groups. The VanUE Group (Vancouver User Experience Group) meetings are held there every month, and that campus has quite a few rooms that could be used through Spring Break (Mon. April 28 - Fri. May 02.) They have wireless, projectors, white boards and a cafe, all on the hastings / homer / cambie region.

As Dale mentioned, I'd planned to get a "wrap up and moving forward post" up but ... its friday and I am all Internet-ted out so will delay til next week (when all is calm at the RCS office with most being in Boston) and start a new thread, register a URL, point to a wiki and see if anyone grumbles about the date and we'll go from there.

Really Dale's notes capture the critical bits we covered - The next critical step is a venue so please everyone continue to dig into your resources to see what we can find for a perfect venue. I think we can realistically spend $1000/day if needed (free or cheap is obviously preferred ;-)) by shaking down some sponsors for bread.

VFS, SFU or UBC downtown all sound ideal so open your rolodex and get some pricing for space for daytime and possibly a place for a kick off party of some kind (Media club, Anza Club?)

PS I also spoke with Jacob Redding today about his experiences putting on Drupal Camp NYC and his position the Drupal Board as events dude to get some more perspective - i'll likely post as a podcast next week too.

Speaking to Dale's list of requirements, which I think looks good, I think Workspace is good on most points for Saturday. And here is the breakdown for SFU downtown which looked a little cheaper than UBC, and I have had only good experience with the wireless there, plus they have projectors, etc.

  • 2 or 3 rooms (tba) holding at least 20 to 30 people
    -->seminar/boardrooms hold around 25 people, and cost $150-250/day (day=8-4:20, maybe a little later sat)
    -->classrooms hold 40-45 and cost $250-275/day
    -->there are also theatres that hold btw. 75-200 for $450-650

  • 1 of those rooms large enough everyone
    -->would need a theater if it's more than 45
    -->or could get a combo of 2 sm and one med room or something...probably would be around $1000

  • excellent wireless
    -->check

  • excellent transit access
    -->check

  • Available 1st week (or perhaps 2nd week) of May
    -->should be fine--seemed like good availability, esp Sat.


As for a kick off party, I think it'd be great to do something a little more low key perhaps? I really liked the mellow vibe of the Seattle DrupalCamp, will have to see if I can think up any locations...maybe we could just have a BBQ or something? Feel free to totally veto that vibe...


Dates: sounds like Fri-Sat is a winner, so either May 2-3 or 9-10 I suppose...any preferences? I think I'd lean towards the 2-3 weekend.


Will see what I can do imagining up names/web addresses....

What kind of attendance is being aimed for? If target attendance is 200, a theatre and two classrooms would more than meet that, give 3 tracks, and come in around $1K a day (which meets Dave O's recommended venue cost per day).

However much I try I just can't resist the draw of Drupal... It's just too flexible not to use when developing standards compliant (CMS) sites.

We'll probably look to secure some space and set dates (currently beginning of May), and then cap attendance. If demand is huge, we can look at getting more / bigger space, which should tie into our space selection.

I just got back from boston and it was a great learning experience, i think we have good momentum to build on

Seattle DUG is definitely planning another DrupalCamp too. I would like to make sure we have a little time between the two of them. That way folks from either location can make it to both camps. Currently, we are thinking around the same date as last year: June 27/28. If you keep your early May dates I think that would work well, otherwise maybe we should move our camp dates into July or August?

We're having our monthly meeting next week, and will be discussing the Seattle DrupalCamp more. I'll mention the Vancouver camp for sure. Glad to see you're doing one too. Since Drupalcon Boston sold out, I think we'll get a good response for both camps.
