11/11/08 Drupal Camp Planning Conference call notes

Events happening in the community are now at Drupal community events on www.drupal.org.

  1. Location - Andrew - called a bunch of places:
    "The Ballroom on Church Street" only available on 2/22 ($3K+).
    RDV Sportsplex - 4-8 hours, $400-$500 per room
    Plaza Theatre on Bumby - promising, waiting for info
    Seminole Community College (Sanford, Heathrow) - waiting for info
    Steve will talk to Heathrow Campus guy (Judson French) about their facilities
    The Orlando Art Museum (Lockhaven Park) is another possibility
    The Orlando Science Center - ~$1K for 5 hours, 70 people max.
    History Museum downtown is too small
    Winter Park train station is all booked until mid-2009
    Devry - Andrew will contact (promising)
    Full Sail - Darren has meeting on 11/18
    City Arts - booked through 4/09

  2. Outreach - Ryan. Local groups, other Drupal groups. Steve is talking to them about putting a notice about our camp to the Rollins College Philanthropy workshop mailing list.

  3. Tracks/Schedule - Joe - see http://groups.drupal.org/node/16299. Ryan suggests that we leave at least one session open for traditional BarCamp ad-hoc presentations and/or BOF/Showcase.

  4. Food/drinks/t-shirts/swag - Steve talked to the owner of a Mexican restaurant chain - they might be interested depending on the camp's location. Ryan has additional info for scoring free bagels from Panera.

  5. Web site - Kevin - not on the call - please confirm you're still interested in doing this.

  6. Associated events - waiting for location/date.

  7. Logo - nothing new here.

  8. Material and Supplies (badges, signs, AV, etc...) - will be handled closer to the event.

Those guys at Plaza Theater are great. I had a film release there last year and they are super friendly and cooperative. One huge room, one small room, and the front lobby.
