This is probably not a terribly divisive topic, but in the interest of keeping things very open and clear to everyone while also facilitating easy processes, we discussed the issue of casual donations at our last meeting.
Casual donations cover items of value but that are often casually donated. Like the venue where we meet, availability of video conference equipment and snacks and drinks. You can imagine that if the donations start going into dancing girls and boys and free laptops, that the DASA governing board's arm may be more easily turned into not serving you well and that's what we want to avoid. So we want to keep things open about even these small donations.
We decided to mention these items for each meeting on our upcoming website. In addition anything (like filing material etc.) under R 1 000 that we casually need to buy can be bought by the Treasurer and confirmed at the next meeting and anything over R 1 000 will first need permission to proceed by more governing board members (I notice we failed to mention by how many, we'll do that at the next meeting too).
We'll also keep a shared (read only to other members) Google Docs Sheet noting expenses and maintained by the Treasurer.
Think I have all that right. Other governing board members, please correct me asap if you see something wrong or misinterpreted.
I've got a half dozen or so more topics to cover in upcoming posts. But hope you'll see how well this board will strive to represent Drupal in South Africa and that we can build the confidence of the community.
