Organizers:
Event type:
Drupalcamp or Regional Summit

Cancelled

Due to a miscommunication between me and the OLF organizers this event is not taking place.
Once the OLF team turns their attentions towards 2012 we will regroup and submit a timely, well prepared proposal that meets all of their requirements.
My sincere thank you goes out to the OLF team for their efforts to try and squeeze us in at the last minute. We'll do this right next time and stand a better chance of making it in. Understandably, everyone wants to get in on the fun at OLF. I look forward to helping make this happen next year!

We need to cover some of the cost that OLF will incur for our being there. I'll need to have the written commitments from the sponsors b4 we can secure the room.

p.s. I'm still going to be living in Columbus for the next 5 months. Should we start a new thread about getting our own date and venue?

I'd like to try to do one in

robbt's picture

I'd like to try to do one in Columbus. How big of a camp do we want to try to do, and what kind of venue would we want ?

I'm a student at Columbus State Community College and they have decent facilities that are open to the public. I think the only issue is that you can't charge access if you use their facilities. It would have to be free, but it could be a good venue that wouldn't cost us anything. I can look into how we could book it if there is interest in pursuing this still from other people.

I'm up for it

I think it would be great to go ahead and try to do our own. CSCC sounds interesting - I wonder if sponsorships could cover all the costs if attendance must be free?

Stick some #'s on this

bigjim's picture

Okay so I'll stick some #'s on this one.

Let's say 100 people for argument's sake:

The two biggest expenses are gonna be food and event space.

Space: We can likely get event space donated, local college (OSU Drupal folks listening here???), Tech Columbus, etc... But otherwise we're looking at $500 - $1,000.

Food: Coffee, Tea, Bagels for breakfast and sandwiches for lunch maybe $12/person (I'm assuming we can get a bulk discount here).

Speakers: if we want to recruit people we may need to pay to get 1 or 2 prominent people to fly/drive it as a recruiter

Random: Internet Access, Marketing ...

Space: $500-$1000
Food: $1,250
Speakers: $500-$1,000
Random: $250
Max Total: $3,500

Some of this can obviously get donated (assuming someone will do the leg work to get the donation) like space and Food, but that takes work. CSCC would quickly knock $1,000 off the top. So at most we're looking at $2,500 in sponsorships, I think that's doable. Any chance the CSCC has a cafeteria? The location doesn't lend itself to good restaurants unless people are willing to walk.

Grants
