Deadlines for presentation submissions

Events happening in the community are now at Drupal community events on www.drupal.org.

We haven't set any deadlines for presentation submissions but we really should. Firstly, it should help spur people to get their stuff up and more importantly we need to have a cut off so we can decide the final list and make a schedule several weeks before the conference. This could be a deciding factor for people who want to attend but aren't sure what it will have and we need to give our chosen presenters time to prepare. The initial idea AFAIK was to have presenters submit slides one week prior to the conference.

Given this, here is my proposed submissions timeline:
Submissions close February 4 (two weeks from today)
Co-chairs review and make a final list by February 9
Schedule is publicly published February 11
Presenter slides for review February 25

IMO these are the latest we should push these dates and moving them sooner wouldn't be a bad idea so if folks think we can work with earlier dates then I am for that. The schedule I've listed only gives chosen presenters 2 weeks to work up slides. Also, please note that I have no idea what I'm talking about and pulling this out of my butt, so anyone with more experience or ideas, please do speak up. Whatever we do I think we need to nail this down ASAP, so both we and the community know what is going on.

bit by bit + exceptions

This feels a little too early to me, so I think we should go "bit by bit" on these deadlines. Last time we didn't have any of these (aside from submissions closing) so this time let's use these dates, or maybe a little later. If it works well then we can see about tweaking it before Euro-Drupalcon.

Also, some presentations (the UMN usability one is closest on my head, but maybe there are others) simply can't be done prior to March 1st. So, for at least some of them we will need an extended deadline which seems OK to me.

I suggest a staggered admission though.

60-70% of the talks are selected by Feb 9th. Allows us to confirm the high quality talks that everyone wants, but leaves room for BoFs and others who are going to come across Drupalcon through non-traditional channels.

My goal is to have about 350 of the attendees come from the New England area. We are also recruiting heavily from the design and user experience community and that's going to take much longer to reach out to.

To give you idea, we want 350 people from: http://groups.drupal.org/node/8298 who will likely be local, or making the decision to come late. Leaving open the door for BoFs, and for less traditional tracks to fill up will help achieve a balance. The site building and community and core track could choose to close earlier, but I think the design and UX track will take a while to completely fill up.

I'd say we should close submissions by Feb. 8th

Let's close the door on submissions by Friday evening, Feb 8th. That way, we have the weekend to review them, and then as we announce the titles on Monday morning the 11th, those who are presenting will have a full two weeks to proof their slides, demos, dioramas, and mache.

This still gives us two weeks from today for prospective to come up with an idea for their talk, and submit their name as a presenter. It also gives time for final anaysis in the week preceding the conference.

We've only got 6 out of 16. I believe there are 5 more sessions in the works.

But I think we should commit to a first pass selection for Friday Feb 8th. Let me see if I can nudge the business and design submissions before we announce.

Hi, I have been working with Monique to get the program submissions into the conference guide.

Let's announce the first selections will be Feb 8th, and the second set of selections will be Feb 14th. That give us time to give Monique the final schedule to go to the printers.

Pardon the forthcoming strong tags.

If you guys want to have a deadline on these session proposals (which is the key to getting more of them -- none of us work without deadlines), you need to post about it right now. Everywhere. Drupalcon.org, drupal.org, the devel list, and follow-up one-on-one with individual contributors who you want to present (Earl Miles, James Walker, etc.).

We can no longer use the dates outlined by Addi in the initial posts, because we need to allow ~2 weeks to spring a deadline on people suddenly. So now the earliest we could shut off session proposals would be Feb. 11. That's if we post right now.

Getting the final schedule up on drupalcon.org is absolutely critical to filling the remaining ~200 person gap in registrations. That can only happen if we set a date for when this schedule will be available and communicate it to the community. Please make this a priority.

We just hit 70 sessions, deadlines being posted.
