I've made arrangements for Brian Gilbert from Melbourne to attend this meeting and help facilitate the discussion.
We will also attempt to setup a google hangout for those that can't physically attend, though it may be unreliable so I encourage everyone to attend in person if possible or to send in your comments to be read to the group on the night if you can't attend.

i really don't like the idea of separate meetings for organisers to sort out how we should run the sydney group.
how we do our meetings seems like fair game for the regular meetups to me.

I totally agree with you on this - it involves the future setup of the user group for all involved, even those who don't realise it! Unfortunately the agenda for last month did not get updated, so the new people in the group were not interested in going off-agenda.
The more people who are involved the better.

@beejeebus - as was brought up at the last meeting, not everyone is interested is the organisation aspects. For those people that are, its best to have a meeting to discuss it in depth. We've had discussions at the last 2 regular meetups on these topics, so its not something that is being hidden.
@chaloum - as mentioned at the last meetup, the intention is to have it in a boardroom near the city, but if we have a large crowd then I will make other arrangements.

How about a G+ Hangout or the like?
Google+ has live hangouts which are video calls that can be streamed live and also instantly recorded to YouTube... it seems perfect for an organisers meetup. It might also make the scheduling more accommodating for those planning to attend.
If the organisers meetup is recorded and then posted to the Sydney groups page with the relevant minutes I think that would be a good thing for the sake of good governance and transparency.
@beejeebus, I agree about these topics being best suited for the regular meetup but there were some new attendees at last Thursday's meetup who felt the original agenda was being hijacked by an impromptu group discussion of some of the ideas raised in this post: What are your ideas on the current meetup structure?.

Fully agree that remote is the way to go for this. Getting everyone in a room, despite the advantages of face-to-face communication, is likely to reduce participation .
If the Google+ limit of 10 (?) is not enough, perhaps we could do it through goto meeting.

Hi guys, I can make it today but I think we need to establish a desired outcome before having this meeting. I don't think we need a meeting to talk about ideas, I think we need one to agree on who will organise the March meetup and then maybe the April one as well.

Its more likely that we can attend if you do both face to face and G+ hangout. Please someone at the meeting make that happen (for @kim.pepper, @queenvictoria and @ladylaudanum). 6-8pm is family time.

Can we confirm time/date for the meeting?
I've had a quick look at the Doodle poll and it seems that tonight at 7pm or Wednesday night at 6pm are the options that the most people can make. Can we lock-in an option sometime soon?
Sounds like the G+ hangout is our only confirmed meeting location at this stage.

Looking at the latest changes, it seems tonight or wed at 7pm are the two best times for the people who've filled it out. Considering a few people were worried tonight might be too short notice for some, lets set it for Wed at 7pm. As many of you have seen, I sent out a reminder about the survey and this meeting via meetup.com and its encouraged several new people to fill it out so maybe we'll get a few more by Wed as well.

Just to make it clear to people on the thread (myself included), could you outline the facilitator's role at the meeting? I think that it is important that this is clearly defined prior to the meeting.

Brian obviously has experience running the Melbourne Drupal community which may provide some useful ideas or experience, but by being (relatively) outside of the Sydney community I think he can do a good job at ensuring that everyone's voice is equally heard at the meeting and that we can take some action points away. I will have my own ideas and perspective that I want to contribute and it will probably be better if I can participate without needing to also facilitate, which could be interpreted as personal bias. Also, if people want to criticise any aspects of the current meetup it is probably easier if I'm not at the front of the room.

Add people to your circles now
Based on previous experiences of using G+ Hangouts with multiple unconnected people, you want to have the organiser add everyone to a circle an hour or so before the meeting. Google seems to rely on caching more than a high performance D7 site.
A good way to share your G+ details is via gplus.to. For example I'm http://gplus.to/skwashd

Hi all I am in Montreal at the moment but I can attend on google plus hangout I do not have go meeting set-up etc,
It seems there was a BOF at DrupalCon however Ryan or myself were not informed so it would of been good to have had a discussion face to face. Especially with the negative input etc I received when first trying to start up learning Drupal Sydney. I think that as usual Ryan has tried on numerous occasions to reach out to people to put there hand up for help etc but not many if any rarely do. Ryan and myself have been assisting eachother with small aspects of both groups. The both of us welcome feedback and support it would be good to hear peoples oppinons etc running a user group is a large commitment etc it would be good for everyone to remember this and also allocation of time. Also respecting peoples oppinons aswell is an important factor, I do not think I need to point out alot of negative comments or forums threads in the past etc. If someone could let me know what is going on as it is 3am in Montreal and I have stayed up to join in, if not can we have the full post of a word by word recording? aka from the meeting? that would be a good resource to have to read etc
