Drupalcamp Philly 2008 Planning Notes

Here are the notes from the meeting on 10/28 from 6:30-8 at ZivTech.

Attending were: Alex, Ezra, Howard, Jody, Mason, and Nate.

Venue

Nate proposed that we use The Hub at the Cira Center in West Philly as the facility. By using this facility we are required to use their catering service, so the cost of lunch and coffee service is included in the price. We will get 3 smaller rooms that can be configured to make a larger room. This will accommodate approximately 65 people. After some discussion about the pros (location, quality of facility, free wi-fi) and cons (cost) of The Hub, the group agreed to use this space.

Fundraising

The group then moved on to discussing fundraising. Nate, Alex, and Ezra offered that their companies (River Rock Star, ZivTech, and DLC Solution) would be likely to make contributions.

A list of possible other funders were discussed, including Greater Philadelphia Tourism Marketing Corporation (GPTMC), HostMySite, Acqiua, local recruiting agencies. There was no "chief fundraiser" appointed, but all present are going to make fundraising attempts individually.

Alex is going to create a list of sponsorship packages with benefits that we will be able to offer to sponsor, including items such as, tables, signs, programs.

Aside from the location, funds will be needed for printing a schedule, and signs. Mason agreed to put together the programs and signs.

Happy Hour

The bar at the Cira Center was already booked for the night of the event, so the group discussed Slainte, which is located nearby on Market St., as a suitable alternative. It was agreed if there were funds left over, that drinks would be subsidized if possible, perhaps using tickets.

Promotion

Nate suggested that we use his domain, "drupaldelphia.com" to promote the event. The domain will be pointed at a landing page on drupal.org.

Direction to the event will need to be posted on that page.

Sessions

After discussions of all present the following tentative schedule was agreed to:

The group agreed to use Survey Monkey or similar to get input on the afternoon sessions. The following topics were suggested:

  • Developer Tools, including Firebug, Devel, tips roundtable, coding standards
  • Higher Education
  • CRM
  • API for Drupal 6
  • SimpleTest
  • Themeing
  • Showcase
  • Popular modules
  • Ubercart

It was agreed that for the advanced sessions, that it would be good to have 3 speakers, perhaps a moderator and round tables.
