DrupalCamp Colorado 2009 - How You Can Help

Hello folks,

Planning for DrupalCamp Colorado 2009 to make sure it is the best DrupalCamp Colorado ever. We need help with a couple of things and are hoping that someone can chime in with some ideas or respond to volunteer to help pick up some tasks. Right now, the biggest issue is finding a great venue which we are trying to finish during January...

Help Find a Venue

Venue is the one major cost in a typical camp, so if we can get some space at a low cost then it will help keep the camp accessible to attendees of all budget sizes. Last year the folks at DOM gave us an amazing price on the space. This year we hope to have more space to avoid another "sold out" event. So, here are the requirements for space:

• Low cost (the current best alternative is several thousand dollars, so something under that)
• WiFi - we need it and love it and it needs to be ready for ~150-200 geeks
• Availability for a weekend in May, June, or July of 2009 from about 9AM to maybe 6PM. The later at night that we can use the space the better.
• Space for ~150 to 200 people with
  • Ideally one big presentation room that can handle everyone for the opening/closing sessions
  • 3 smaller presentation rooms
  • Ideally a few small meeting rooms for "birds of a feather" gatherings
  • Ideally all of these rooms would be located off of a central lobby area or at least near each other within the same building
• Easily accessible from Denver, Boulder, and the Springs, and near restaurants

Again, we would like to finish selecting a venue in January so a prompt response is vital.

Help With General Tasks

There are several areas that still need help:

• Defining sponsor packages and soliciting sponsors
• Getting T-Shirts, Stickers, etc.
• Defining the schedule of presentations, soliciting remote presenters, soliciting high quality local presentations
• Deciding on any food we may want and then coordinating how that will be purchased/delivered
• Looking for "in kind" sponsors who may donate services we need
