DrupalCamp NJ 2015 Planning Meeting #1

It's that time of year again!!! We are approximately 6 months away from DrupalCamp NJ 2015 and need to kick off our planning. I've drafted an overall document and shared it with the organizers list from last camp. If you are interested in learning how a DrupalCamp happens and/or volunteering to help organize with us, feel free to email me at sean@crowdcg.com and I'll add you to the organizers list. The agenda for this first meeting is listed below and the meeting will immediately precede our monthly meetup (https://groups.drupal.org/node/436938).

Based on our discussion there are definitely a number of decisions we need to make, some we discussed and some we didn't. I've listed them in order of importance, from my perspective. Feel free to add your thoughts here, in the google doc, or by emailing drupalcampnj-organizers@googlegroups.com.

  1. Website
    In the short-term we need to archive last years site and put up at least a placeholder (new design!). Ideally we should update to the latest version of COD, unless we want to get crazy with D8.
  2. Save the Date Postcard/Email
    We could simply refresh last year's template with the updated design.
  3. Sponsorships
    Providing other sponsorship opportunities is something we definitely need to consider, some ideas are outlined in the Google Doc for consideration. It would be good to reach out to potential sponsors at the same time as the Save the Date.
  4. Registration
    It would be good to have a goal of increasing the number of Individual sponsorships, by providing some incentive. Otherwise the previous model should remain, using EventBrite.
  5. Training vs. Summits vs. Both
    Based on the discussion there are mixed opinions here and it would be good to determine what we want to do sooner (September) rather than later.
  6. Keynote?
    I feel this is a good way to set the tone of the camp vs. having another set of sessions. Open to suggestions!

Other things to consider for next meeting are: Scholarships, BoFs, After Party, Swag, Giveaways.

We should also work on determining what tools we will use to communicate internal and market the camp, as well as establish a more detailed timeline.
