DCD 2014 Updates - Moving from the mail thread
Megan Sanicki (Associate Director, DA) is planning to visit India in January for 2-3 weeks. She will be visiting Delhi and few other cities and connect with the local community folks. This was discussed in a meeting between Megan and a few community leaders from India, Shyamala R, Rahul Dewan and Jacob Singh, at DrupalCon Amsterdam last week.
It was also discussed that it would be great to have Drupal Camps or Meetups in these cities around those dates as the community presence would be maximum for Megan to interact with.
Does it make sense for us to organise DCD in Jan'15 and have Megan as one of the keynote speakers? As suggested by Jacob, this would also help us plan the event better as we are running short on time for dates in Dec.
"DCD is the largest camp, and it will be a pity if Megan cannot see this in action.", said Rahul Dewan. His proposal is to use the same dates in Dec (or sooner) to have a large scale Codesprint in Delhi (instead of the Camp).
Your thoughts?
Jacob has also suggested having a central organising committee comprising people who agree to spend 5-10 hours weekly for at least a 2 month period before the event, which coincidentally I have been proposing in the past 2 meetups. Your thoughts again?

Its quite motivating to hear that Megan Sanicki is coming to visit our nation early next year (Not sure if this is confirmed)
Thanks to great work by all volunteers to make past DCD success.
However, if we are planning to shift DCD, just because to showcase our talent, it won’t be the best deed at our part.
She is still “Planning” to come to India, not sure if this is frozen. If it is, is this event part of her plan ?
Moreover we don’t organize DCD to showcase, how good we are as Event planners. We do it for our sake, for the community, so that the community can grow, more and more people can be a part of our community and most importantly, improving our knowledge and our PR’s too.
My personal opinion, Do not delay the plans, and lets move ahead with things at greater pace to fulfill the time we have lost.

It great that someone from drupal association is coming to India but I don't think this is good reason to shift DCD to Jan 2014. Because then we need to plan every thing according to the dates they will be available and any shift on those date at last time will affect our event.
DCD a community event which we do and attend every year. I talked to other people and it felt discouraging to them that we are thinking to shift DCD to Jan 2014 and missing a year in between just to show someone else our community strength.
I feel that we should go for organizing DCD in Dec 2014 in full throttle as planned earlier and then in January we can organize a big Drupal Meetup.

Here's what we came to as a suggestion and logic for it:
From what we have heard, the 4 most active folks are:
If someone is feeling left out, please voice it.
So we propose that this group form the organizing committee. They (and their employers) would have to agree to spend 5-10hrs a week up until the camp and probably a couple full time days right before the camp. Given the commitment, we as a community also empower them to take decisions on how we run the camp including the budget, sponsorship amounts, dates, speakers, etc.
They in turn would agree to make all decisions public and try to solicit community feedback via g.d.o along the way.
This doesn't mean they do all the work! There is a lot of stuff to do and we will all need to chip in, but they will be accountable and lead the effort.
I propose Mayank act as a leader to coordinate the efforts of the group since he's quite experienced at running this thing now (and does a great job).
Anyone opposed to this idea? Anyone in favor?

We have always talked about it, to have responsibility of all things related to DCD on certain people. Who can lead others to make this event successful. But we never reached on any conclusion ever..
I would also like to chip in this group. I understand the responsibility of being part of the group as I have been actively shared the responsibility to make DCD successful for last three years. I can spend 5-10 hours of my personnel time during planning & execution of the event..
If experience of others with me during organizing this event have been satisfactory, then please consider my volunteering for the event in this organizing committee.

Hey Jacob, i'd like to point out that folks from Axelerant have been closely involved with DCD planning and organising too since a couple of years. It's just that this time around i've been away from Delhi and am not physically attending meetings, though i've been in touch with Mayank and have taken up a few responsibilities that can be fulfilled remotely.
I've discussed with my team members and we'd be able to provide 5 - 10 hours of volunteer time each week and more if needed.
@mayanck i've talked to a designer too, we are looking good to start on our branding collateral.

Some suggestion from my end
If we can have an open opportunity for getting in this organizing group based on their contribution in organizing events and meetup in future. People from other cities who were active in there cities will be left out when moved to delhi. Lets nominate someone also who can restructure this group each year or in 2 years.
It shall not be a Company affair of people in this group because we have listed down names with employers as people from other companies are also eager to participate but coz of company affairs they feel left out. If we are having a company affair then lets get member from each company this will get equal contribution from all Drupal firms working in Delhi.
All above suggestions are just to avoid partial behavior which is the big issue which comes out whenever we have an organizing committee.

I would advise against having a group larger than 5-6 people. It gets very messy to manage and take decisions. Can we as a community just empower the 4 people I named, or do others feel they need to be part of this core group?
Honestly, it doesn't matter much, everyone will be involved, and people who are involved will have a say in things, but we need some clear leadership just to move forward or we will get stuck in "consensus by internet" for the rest of our lives and no one wants that :) I'd like to not get stuck on "who is in the government", it's really not that important. Credit goes to everyone who participates.

Referring to your earlier comment, I'm in total agreement of having a few people lead the event every year. These people are essentially the point of contacts for the entire community during the event organization and ensure that accountability is not lost amongst a floating set of organizers.
@Tajinder: This group of people will change 'every year' depending upon the activeness of the new folks in meetps and camps. Let's not call it an 'organizing committee'. There's a negative connotation to the phrase in event management circles as a bunch of people who boss around. :) We are certainly not going there! As mentioned, it is a group which takes a lead in community initiatives and will change every year.
@All: Rajeev has been actively involved in organising DCD for the past 3 years. It will be great to have someone with his experience on the team for this year. Parth and team were an integral part of the event last year, helping across the board. I propose to include them in the group.
Guys, lets meet this week, as early as possible or in case a con call works better, let us know. We need to announce dates on a priority.
Almost all the discussion we have regarding the event will be made public in D.O. The minutes of the meetings will also be shared. Suggestions and ideas are most welcome and will be acted upon. As it has been mentioned, this entire arrangement would fail without the involvement of all community folks. Let's work together to make it a kick-ass event! :)

Also, these would be special guest sessions, (so that we may explore new areas and integrate those with Drupal), and we are not planning them to post any request for a session in the camp.

What else required to join DCD apart from site registration
I want to come to the Drupal camp, this would be my first time in a Drupal camp. I have registered to the site http://2015.drupalcampdelhi.com/, and also registered to the code sprint form. Is there anything else I need to do for the event registration?
