It's that time of year again!!! We are approximately 6 months away from DrupalCamp NJ 2016 and need to kick off our planning. I've set up a Trello board for managing the tasks associated with the camp. If you are interested in learning how a DrupalCamp happens and/or volunteering to help organize with us, feel free to email me at sean@crowdcg.com and I'll add you to the organizers list.

The agenda for this first meeting is listed below. Note that all 2016 planning meetings will take place during our monthly Mentoring & Collaboration nights (every 3rd Tuesday) at FFW in Princeton, NJ. Meetings will typically be one hour in length from 7-8pm. While it would be great if everyone could be there in person, we know that is not always possible, so if you want to participate remotely let me know (via email) and I'll send you the remote participation details.

All tasks are being managed on a Trello board and we will use that and IRC for discussion/decisions between planning meetings.

Notes:

  • Food/Beverage, maybe some other options (pizza), improve flow (location?), better signage
  • Session selection process transparent, blind?
  • Code of Conduct, see Trello card
  • Sprint Day @ FFW, Extended Sprints (Thursday and Friday)
  • Recommend a single hotel and config travel, things to do in the area [Steve]
  • Scholarships process and criteria
  • Trainings (Drupal in a Day, Project Management, D8 Modules, D8 Themes, Migrations)
  • Need better info on website, especially for new people [Danielle]
  • Keynote ideas: coderabbi, crell
  • Speaker agreement (slides up ahead of time with link), ask for OS. Linux users specifically have an alternate
  • Better form, guidance, and categories for Session Submission
  • Promote Parking (North Garage)

Timeline:

  • Save the Date (mid-September email, postcards or something for Baltimore (10/9) and New England (10/10) Camps.
  • Website - landing by mid-September, full by Oct. 1. Stay on 7, remake in vanilla 7
  • Trainings - mid-October announcement, start recruiting early September
  • Keynote - early November announcement
  • Sessions - open recruitment Oct 1. and accepted by mid-December (deadline Dec. 1)

Next Steps:

  1. Need a Designer and Design, Logo, Postcards, Banner Pop-ups
  2. Sponsor Reach Out
  3. Save the Date/Open Reg
