LCA have asked if we want to have a stall at LCA Open Day on Saturday 23. Note this is the first day of DrupalSouth Wellington, but that the open day is only from 11-2 (setup/packup one hour before/after). I can't be in 2 places at once and don't have time to organise, but I can put anyone who is interested in organizing this in touch with the LCA folk. I can also lend you a giant 3m Drupal banner for the stall.
I expect this would involve fielding questions from Drupal-curious linux and OS-savvy folk. This goes an awful long way towards helping promote Drupal in NZ and Australia.

DrupalSouth Wellington 2010 is the New Zealand Drupal event. It will be NZ's largest ever gathering of Drupal developers, designers, contributers and business folk. DrupalSouth Wellington will be on Saturday and Sunday 23-24 January — just after Linux.conf.au Wellington.
DrupalSouth features some great speakers and attendees from NZ and abroad, including
- Angela Byron (webchick); Drupal 7 core committer, Drupal community nurturer, and co-author of Using Drupal
- Emma Jane Hogbin (emmajane); co-author of Front End Drupal, uber-documenter, Drupal evangelist/speaker and community all-rounder
- Liz Henry (lizhenry), BlogHer.com developer — the largest community for women bloggers, built on Drupal since 2006
Registration costs just $67.50 NZD including GST ($60 for non-NZ businesses) and includes lunch, coffee and tea on both days – not to mention access to a great line up of speakers and sessions on awesome topics. The full schedule is coming soon!
DrupalSouth Wellington will be at the upstairs function room at Mac's Brewery Bar & Restaurant, on Wellington City's waterfront, and just a few hundred metres from Linux.conf.au at the Wellington Convention Centre.

DrupalSouth registrations opened this week, register now! There are already almost 30 registered attendees. Capacity is limited to 100 and we are expecting to sell out, so get in quick!

We now have 7 sponsors plus one more that has said they will sponsor but has not confirmed how much yet. See http://wellington2010.drupalsouth.net.nz/sponsors for their details.
This probably gives us enough seed dollars to cover fixed-price costs;
- venue (paid)
- high-speed internet and usage (hopefully – cost unknown)
- some free/discounted registrations for sponsors, speakers and/or people who helped organise
- name badges
- printed programme and other stationary (probably)
- banner with sponsors' logos (maybe)
Speakers, sessions, schedule, co-ordinating the programme
I'm currently focussing my efforts on getting more sponsorship so that we can lower the registration fee. So far I've got a bit from Chris / xurizaemon / Giant Robot, and most likely a lot from another potential sponsor. Nothing else yet, but I sent a lot of email this week and people might still be considering and responding. I still have more people to get in touch with on my list, and will also follow up with phone calls to the likely candidates.
In the meantime however, people are getting antsy about sessions, speakers and programme. Here's a braindump;

Hi everyone,
Updates; Website is launched, Venue is announced, booked and paid, Dates are now concrete, Attendance from our featured attendees is confirmed, Wifi arranged, Slow progress is being made with getting a wide bandwidth link in to the venue.
A big thanks to Dan for his help with the website. I launched it today by redirecting drupalsouth.net.nz to http://wellington2010.drupalsouth.net.nz (instead of to christchurch2008.drupalsouth.net.nz), changing some links in some old blog posts and announcements to point there and tweeting the URL.

We're really excited to announce that Mac's Brewery Bar & Restaurant will be the location of DrupalSouth Wellington 2010. The Brewery bar is right on Wellington central city's waterfront, between Te Papa and the Wellington Convention Centre. Yes, that means it's less than 300 metres from Linux.conf.au Wellington 2010 which is the week leading up to DrupalSouth!
We're also excited to announce the website for the event at Wellington2010.DrupalSouth.net.nz where announcements will be made and where you will be able to register in the near future. Subscribe to the RSS feed to get the latest news.

We now have three sponsors; $1000 from .nz, $500 from Catalyst IT, $200+services from Egressive.
.nz will pay sponsorship dollars to the venue directly, though our contact there (Jay Daley) is at a conference this week, so it won't happen till next week. I'll wait till that is paid and received before announcing venue. Projectors are $175 per day, but we can bring our own (Should we ask Catalyst IT? Others?)

I checked with Mac's about their internet. They have a slowish ADSL connection; 4745 down and 679 up. So we will need our own bandwidth in and our own robust wifi so everyone can connect to it (as well as a few cables for critical devices – like speaker's computers).
I sent emails to Dave Lane (who setup the Chch wifi network), Citylink (Fibre providers) and TestraClear (Cable network providers), and Tim Bourne at Vistagate (Mac's current ISP / IT company), however someone more competent with networking than I needs to manage this.

DrupalSouth Wellington will be on Saturday and Sunday 23-24 January 2010 – just after LCA. Note that these are not the dates announced earlier this week on Twitter and a few other places (We were were missing some information we thought we had).
The venue is in central Wellington and is amazing! It is just a few hundred metres from Linux.conf.au and the Wellington Convention Center. Keep listening for the announcement sometime in the next two weeks – as soon as contracts are signed and deposits are paid.
Our sponsors have partnered with us to help make DrupalSouth the biggest Drupal event ever in NZ. They are;
- .nz – who bring you great .nz domains like
*.geek.nz - Catalyst IT – Specialists in Open Source Technologies
- Egressive – Drupal development, Linux support and hosting
We still have space for plenty more sponsorship – please get in touch if you want to be a part of NZ's greatest Drupal event.
We've confirmed attendance of our featured and keynote speakers from overseas;
- Angela Byron (webchick), Drupal 7 core maintainer
- Emma Jane Hogbin, (emmajane), co-author of Front End Drupal, uber-documenter & Drupal evangelist
- Addisun Berry, (add1sun), Drupal documentation lead
- Liz Henry (lizhenry), Blogher.com developer – the largest community for women bloggers, built on Drupal since 2006
IMPORTANT: Change dates to 23-24 January
Follows an email I just sent to our key speakers from North America and a number of others
New DrupalSouth Dates are January 23-24. Let me know within 10 hours before I re-announce if you have any major objections.

I just found out that Brenda can't make the dates of January 16-17 because of LCA! It would be a real shame to not have her participation at DrupalSouth especially considering the AMAZING work she has done with Geekspeakr and the fact that ahem all of the out of town speakers on this email are ... women.
Great news!
Great news!
- .nz Registry Services (Jay Daley) sponsored $1000 + gst
- Egressive committed to $200 (with minor provisions) and ongoing logistics and hosting support

- I confirmed funds available from last DrupalSouth; $440
- I have a new plan to gather more sponsorship
- Chris and Dan have committed to working on updating the website
- Brenda and Josh are following up with Catalyst
- Signify responded "no" to sponsorship. Thanks for trying Kirill
Conference call Tuesday 3:30pm
Let's have a Skype conference call on Tuesday at 3:30 pm NZ time to catch up, get on the same page and make some decisions. Please comment with your skype name if you plan to attend. If you can't please suggest an alternate day/time – though note we probably can't find a time that suits everyone, and time is short.
My skype name is b.rudge, please add me now.
Thanks!

13 votes for Week After

Sponsorship Open for DrupalSouth, Wellington, January 2010
DrupalSouth organisers are almost ready to book a venue and announce dates for DrupalSouth Wellington 2010. However we need to pay a deposit in order to confirm the venue and hence dates. Thus we are now accepting sponsors for DrupalSouth.
Read moreChoosing a venue
We've collectively done a fair bit of research on venues and it seems that there are 3 broad categories of venues to choose from;
| Pros | Cons | |
|---|---|---|
| Community centres / halls | cheap (~$400), DIY catering | lack atmosphere, often too small, more flexible & accommodating, catering might be difficult |
| Hotels | quality facilities, flexible, catering is possible but might be expensive | expensive ($1.5-2k), "corporate" atmosphere, equipment like projectors are very expensive |
| Bars & Restaurants | great atmosphere, probably good value if we want food and/or beer | "minimum consumption" makes them expensive ($5-8k incl venue), few are large enough, some are not accommodating |
Welcome! Please introduce yourself
Not everyone here knows each other, so please introduce yourselves, along with a bit about what you do with Drupal and why you're interested in making DrupalSouth Wellington happen.
I'll start. I'm Bevan. I work for CivicActions, a virtual/US Drupal shop for non-profits, progressive and positive-change organisations. Our mottos include; hook_world_alter() and saving the world, one node a time.

Most urgently DrupalSouth needs a venue. Once a venue is booked we can confirm dates. Please review the list below, add to it, comment on the items in it, discuss some more in the comments, call them, visit them, and re-order them below. This is a wiki page, edit it.

- Broadband internet? Speed?
- Data projector, seating, tables, sound equipment? Cost?
- Food? Catering? Cost? (general idea)
- Minimum consumption requirements or expectations?
