Prep Notes for SANDcamp Meeting: Everyone is Welcome

Dear All:

Sunday, September 25 from 10am- 2pm // Coffee Bean in Mission Valley (Borders)

To help prepare for Sunday's SANDcamp planning meeting, here's a visual of what we undertook last year for SANDcamp and what we can anticipate to do again this year. Some interesting facts about major camps:

  • Last BADcamp had about 550 folks signup (attendance was about half)
  • This year it is already 953 with a month to go
  • They don't charge so they can expect about a 30+% fall off but that makes their camp more than double in size from the previous year

We should anticipate similar growth:

  • Our camp could be 500+ people
  • We had 305+/- authenticated attendees last year
  • SDDUG now has 414 members plus the 60 north county but we'd have to erase the dupes so 450 or so?
  • Last year we had significantly less user group members, around half
  • This will put stress on our budget as we ran out of tables and chairs last year and had to rent the extras

Based on my chart, you can see we have accomplished only two items and I didn't include the website on the list:

  • HOC venue dates confirmed
  • Coffee vendor ok'd

Please review the chart and see what is missing, I'm sure I didn't think of everything we did. I tracked my hours from last year and it was 80 hrs/month for six months. I estimated 1500 hours as group. Topics to discuss:

SandCAMP Dates

Susan,

How did you come up with the new dates (thurs-sat) for SandCAMP? I haven't seen this discussed anywhere online or at any of the meetups. (Sorry if I missed a post somewhere).

I'm just a little shocked that in addition to the "focus" of the camp being decided, the date of the camp has been posted on GDO, the sandcamp.org site, and now confirmed with the venue all without being decided openly by the group.

We took a vote last night re. dates. A clear majority favored Fri-Sat-Sun, so I think the crowd has spoken.

Hi Jonathan,

Good point and mea culpa for sure. I think and plan SANDcamp all year and I haven't had much interaction with the group this year so there are definitely gaps and for that I apologize. I will definitely go with the group's decision; I will make a few points about our camp last year:

(1) The majority of the sponsors are from out of town and last year by lunchtime the majority had left for the airport. They have to work on Monday so need to leave town Sunday afternoon. That left the main part of the hall very trashed looking. By 4 pm almost no one was there. Mainly Digitaria and Achieve and SageTree (local shops). GVS chose to stay until the next day but almost everyone else left.

(2) A sizable part of our user's group got very, very festive on Saturday night and most did not return on Sunday so it added to the hall feeling very empty and low-energy.

(3) We get a nice bump in attendance from the Los Angeles group and they also left after lunch. Our camp went from 300+ on Saturday to about 75 on Sunday afternoon. There was a little grumbling from the presenters that had the late afternoon slots. Very few to help cleanup and tear down too.

(4) On a personal note, the core volunteer team, having put in by that point 40 hours straight of camp for the week; Sunday off would be nice. So the dates are fine either way and as long as we have a commitment for complete participation to the bitter end. I was so tired by the end of camp that I didn't empty the remnants of camp from my car for almost two months.

As for making a case for Friday and Saturday; it depends on why camp exists. If it's all internal marketing for ourselves, then it works to have it Saturday/Sunday. If it's to attract clients, businesses and new adopters, then Friday/Saturday works best. Having been to a dozen camps in the past few months, I would advocate for F/S for a myriad of reasons but whatever the group decides is great. :)
