My name is Miriam.
You may remember me from the meet-up. I was the woman who works for zinc Roe design?
I'd like to get involved in an organizational capacity with planning DrupalCamp '10.
To that end, I'd like to suggest that only people interested in being organizers should meet before the 31st to do some key things:
1/ Make a budget based on anticipated attendance.
2/ Make a shortlist of venues, and establish who will get in touch with venue to check availability.
2b/Make a shortlist of each venue based on price/amenities. I figure we need conference + after party locations so a list of about 6 places would be good.
3/ Create a sponsor shortlist and start planning our asks.
3b/ Figure out who is going to look at getting money from the city for the event. (* this is not as necessary as 3 but it could prove to be a windfall)
4/ Figure out roles/responsibilities for the people who going to put significant time into this project.
I think if we wait until after the meet-up on the 31st to address these practical questions people are going to be tired and in 'beer' mode which doesn't bode well for administrative work.
On the 31st assuming we've made some forward progress on the above 4 points we can talk them out (while in beer mode). Also people who are interested in helping but are too busy to put too much time in during the lead-up can come to the meeting on the 31st and give feedback on the organizers progress.
I think keeping to Mondays is good idea so I propose that organizers meet may 10th post the UofT meet-up at 6:30pm.

Great idea!
As someone who sadly had to miss the last meeting, but would like to help out with the organizing, I'd appreciate a meeting sooner rather than later. Sadly, Tuesdays still work better for me than Mondays, but ah well :P

Scheduling of meetings
We have had a number of discussions at various meetings about our schedule. In my opinion, regularizing the meetings is of utmost importance. While not everyone can make Mondays, those nights represent far fewer conflicts with other events than any other night of the weekday. While I had to miss the meeting before last, the one preceding that and the last meeting on Monday nights were very well attended. Confusion about date, time, and place has destroyed more monthly meetings than any other cause that I know. Please don't keep trying to juggle the nights around. Thanks,

this wasn't about moving the monthly meetups at all - this would be a DrupalCamp planning meeting only. If it needs to be Mondays, then so be it - Kevin I'll sync up with you (and whoever else) whenever works.

Monday's are usually my better days for any meetings. I would suggest the first DC meeting held should fall on a Monday for similar reasons stated by rcharney.

I've just booked the
I've just booked the ThinkTank room, on the 4th floor of the Center for Social Innovation, for 6:30pm on Monday May 10th. 215 Spadina Ave, Toronto. The door to CSI locks at 6pm, but you can access space via the café until 7pm. The elevator gets locked at 7pm. Beyond 7pm, you can buzz the ThinkTank room.
It sounds from Greg that we'll have a few location options with prices and that we may be able to make some decisions.

Location Possibilites
As promised at the last meetup, I've been looking into space options at U of T and MaRS. Here's a quick update:
Andy Allen, who runs the U of T Office of Space Management, tells me that there is nothing available for Friday, October 1st. Since the conference takes place during the academic term, space is hard to come by during the work week. That said, I've asked him to let me know availability of space if we moved to October 2nd and 3rd (Saturday/Sunday).
Had lunch yesterday with Rob Smith, IT head at the MaRS Collaboration Centre, who tells me that we'll also have much better/cheaper luck if we book for the 2nd and 3rd. This would be an optimal location for us and runs at $7,500/day, although he's sure we can get that price way down. He's offered to broker a meeting with their booking people.
I'm also setting up a meeting with 89 Chestnut. That location used to be the Colony Hotel, which U of T purchased some years back and converted into a student residence. We kept the conference facilities, which are pretty good, and one of my staff used to work there, so he can hopefully negotiate a good price.
I hope to have more information in time to present some options at Monday's meeting.

Another possibility
Did anyone think of looking at the Metro Toronto Convention Center? My Boss has book a conference there for Sept 22 & 23rd. For 2 days, they are paying 14k for a room that holds 300-400, and 2 breakout rooms of 200. He also said the breakout rooms could be divided again (4x100) for no extra cost. This does not include Wireless/broadband. I have no idea what this would cost extra (I assume a couple thousand more). I know the price is in the upper range, but it is the Metro Toronto Convention Center, and this would attract big sponsors.
I was wondering if anyone had experience going to the MTCC, or planning an event there.
