DrupalCamp Help needed

Events happening in the community are now at Drupal community events on www.drupal.org.

I have been trying to get things organized but church has made things a little difficult. I have been asked to work with the youth in our ward which has taken a busy schedule and made it crazy. In the last week I have had all of 3 evenings of free time and tomorrow I'm taking them camping in Zion for the week.

Anyone who is willing or able I would appreciate your help. Things that need doing:
- Someone needs to look at an organization that will work well for the sessions. We will have two rooms that can be combined into one if we want to have some type of keynote or even just a very popular session.
- I think we should try to at least have lunch on Saturday. Apple Spice Junction is just down the street and does catering of box lunches, NYPD Pizzaria and Skool Lunch are in the complex and have been open to bringing stuff over in the past as well. Gather opinions/make a decision. Is anyone willing to sponsor lunch?
- With 22 registered, do we want to still try to do a training session? Price? Anyone know how to go about getting one setup?
-- A possible alternative would be to have an activity/event. I'm doing a lot of hiking now so that was my first though (though not necessarily a good one). Any other ideas?
-If anyone is familiar with COD and we get a schedule together while I'm gone please help get the schedule on the site. Jeremy can help with access to things.

It looks like there are 10 proposed session. Do we want to start voting on these or just build a schedule based with the available sessions?

Lunch seems like a good idea.

  • Lunch seems like a good idea. We'll need sponsors for that? Or just ask folks to pay for it at the camp? If we need sponsors we should outline some benefits to get them interested.
  • I've proposed two sessions but can propose more if we feel we're light on topics. Someone should do an "intro to Drupal" for sure.
  • For the training idea, is there anyone local who typically does training? If so we should see if they want to do this. If not, we can see if one of the typical trainers is available.

What else do we need to pull together?

I'm unaware of anyone up here that does training. They are welcome to correct me but I'm up for just about anyone willing to do a training.

As for sponsors, what type of benefits are we talking about. I have been contacted by a couple of groups looking to sponsor and I'm not sure what to offer.

Are there particular levels of sponsorship we want to use and what is the value (amount contributed and privileges) of the various levels? Thanks for helping clarify that for me.

I think there's two

I think there's two steps:

  1. Create a budget so you know what you're going to spend so you know what you need to raise
  2. Figure out what will be valuable enough to sponsors to get them to give money to cover that

Here are the benefits for Drupalcamp Colorado this year which are similar to last year http://2011.drupalcampcolorado.org/sponsorship-opportunities

I think Utah will need fewer benefits given it is smaller and likely to need a smaller amount from sponsors.

The big motivators for sponsors in Colorado seem to be:
* Recruiters looking to network
* Hosting companies or other similar service providers
* "Drupal" companies (usually consulting firms) who are their just to support the community, but also to gain customers and potentially hire folks

So, if you are talking to a sponsor figure out what they need and how you can give them benefits that match that.
