DrupalCamp NJ 2015 Planning Meeting #2

Last month we briefly reviewed the overall plan and are still looking for feedback on a number of areas in the planning document. A few things we made progress on so far are 1) archiving the 2014 site, 2) getting a good design direction for 2015 (more to follow), and 3) deciding that we will have trainings on Friday, January 30.

Looking back at 2013 notes - should we consider free tickets for volunteers - esp those who commit early?

We should get volunteer photographers so we have a good record of the event (for future marketing)

Do we want to set aside a room as a coder lounge or networking room and how much do we need to support BoFs?

I'm a big fan of the coder lounge idea. I think that it would be a good way to get folks started with contributing, especially if they can't make the next day. Plus, folks can stop in for just parts of the day if they want.

Notes & Next Steps

Based on our discussion there are still a number of decisions we need to make, some we discussed and some we didn't. I've listed them in order of importance, from my perspective. Feel free to add your thoughts here, in the google doc, or by emailing drupalcampnj-organizers@googlegroups.com.

  1. Website
    Ideally we should update to the latest version of COD, unless we want to get crazy with D8. Think the consensus is COD. Also need to make a new theme for this and should discuss the approach for this.
  2. Sponsorships
    Will add a few new opportunities.
  3. Registration
    Added tee-shirt for Individual sponsors and should increase the number of tickets for this type. Also should determine whether volunteers are free, I'm thinking yes.
  4. Training
    Brian will be leading this day. We will start reaching out to trainers in late September or early October.

Other things to consider for next meeting are: Scholarships, BoF, Code Lounge, After Party, Swag, Giveaways.

We recently decided to use Trello to help communicate internally and will use MailChimp and social media channels to market the camp. Further work is needed on the timeline and tasks need to be added to Trello.
