Montreal Drupal Camp 2010

Hello all,

Has there been any organized discussion yet about Montreal Drupalcamp 2010? If not should we hold a meet up to get the ball rolling? If it interests the community, it's likely that facilities can once again be donated by McGill--we'll need some amount of lead time to make it happen though.

I just got back from holiday today and almost started the thread this morning. I'm glad you beat me to it as it shows how desperate you are to see it happen again ;-)

In fact, at the last meet-up some of us discussed the idea of another DrupalCamp very briefly and the main conclusion was that if McGill was able to offer the space, we have time to put something solid together. Otherwise, we are getting a little late in terms of finding a venue that can hold up to 250 people (which is a rough guess as to how many people we think we might be able to attract).

So, yes please. We'd love to have McGill's help with the space and, ideally, with some of the logistics. Last year, it was mentioned that we might be able to have an even bigger and nicer space... which would be a big bonus if that were possible.

Anyway, the key is to nail down some dates (ideally in mid-October) when the camp can take place. I can help collect pledges of sponsorship as well as with some of the other organisational tasks.

Looking at my "I see all" calendar for October, I can only mention an OpenStreet Mapping party on the 2nd. Mid November shows http://aspirationtech.org/events/devsummit10 (California) and that's about it. Maybe I'm missing something, please let me know in that case.

I'll ask a few people on our end to start investigating venue options. I don't think it's unrealistic for us to put something together that fits 250 people for an October date.

... I'll be away for DrupalCon Copenhagen until September 1st. So a physical meeting won't be possible for me... but that shouldn't stop others to meet if they want to.

In any case, like I said, the main thing is nailing down the venue and dates... the rest won't take long. The only other time consumer would be updating the site and coming up with a schedule... if we decide to even decide to go that route again.

Organization quick meetup

Thanks for giving us the opportunity to hold a DrupalCamp again at McGill, though in a bigger room, if possible.

I shall be available for a first organization meetup next week. Others interested should also join us.

When would you be available next week? Would you prefer day time or night, aroung 7pm?

Any evening should be fine for me next week. 7pm works. 6pm is better. We don't really have good facilities available to us after hours here in McGill IT but I'll see if I can find an appropriate place to meet on campus. If anyone else can offer up facilities that would be great. Omar's in/heading to Copenhagen--are the EW folks over there as well?

Let's plan an organizing evening Monday August 23, 2010, at 6:30pm then. ;-)

We should probable create an Event and ask people to signup.

At that meeting we basically need to fix:

  • a date -> single day or two-day event!
  • location -> 3 or 4 rooms where one would fit around 250 people
  • web site
  • etc.

Once other people are back from Copenhagen later, we should be able to involve them as well. But this would give them a head start.

Is this OK for Monday? Would you like another time and date?

Cyberthèque Pod 1????

I found a meeting space in the McLennan Library Building, but it's only available from 7pm to 9pm.

I've scheduled an event on the 23rd for those hours.

Hey guys, Omar,

Those of us from the Boston/New Hampshire groups are very excited to visit Montreal again for your next camp! Last year was great, and one of the best camps I've personally attended!

One question/food for thought...
Last year, the video guys were amazing (I sadly forget the name of their company). Is there any chance of bringing them back this year? I know their service isn't cheap, but I'll donate/sponsor myself in any way to help make that happen... For me, the video (which was the best I've seen from ANY camp/Con ever) is what made the even such a huge success. It'd be great to replicate that type of awesome video coverage again.

Please let us know dates asap so we can make reservations at hotel/hostel!!

The video production in the main room, last year, was done by DBN.ca. I don't know if they are willing to do this again this year and how much they would charge. I shall ask them.

As for the video service price, compared to other producers, DBN.ca is cheap. But for a small event like a DrupalCamp, cheap may still take a significant part of the event budget.

By the way, Jake, thank you for the Admin Tools module.

Potential Dates

The person on our end looking into potential venues has asked for some potential dates (it's Jo-Ann once again who did an awesome job for us last year). Omar, you mentioned mid-October. The only conflict I see pointed out is October 2nd. I figure the more time we have to prepare the better so I'm going to suggest the Sat/Sun combo of Oct. 16th and 17th with the weekend of the 23rd/24th as a backup unless I hear any objections. Any objections?

It makes sense to me to avoid statutory holidays, i.e. the weekend adjacent to October 11th. People thinking of travelling from the US would have the same conflict as well.

As Lambic pointed out on the event page Drupalcamp Toronto will be held on the 15th and 16th. Should we be aiming for another weekend?

There will always be conflicts. But we should not do the event at the same time of the Lucene Revolution conference.

So Oct. 16th and 17th are fine. And we need to book the dates asap for others to plan their agenda and travel.

Facilities: what do we need?

Hello all,

Jo-Ann's asked me for a break down of the facilities we need. I've taken a wild stab at it and said:

  • 1 large room that can ideally hold all 250 people
  • another large room that can fit at least 100 people
  • 3 break out rooms that are of average classroom size
  • facilities for the caterers to deploy food and drink at lunch time
  • 1 small secure room where expensive gear can be stored over night

Let me know if you'd like to see that tweaked one way or another.

A couple thought: 1 weekday + 1 weekend day? + translation?

Just a thought... last year we had a lot less people on the second weekend day. I think that people just don't like giving up their entire weekend.

Also, I think that last year we said that we'd make a bigger/better effort at making the event bi-lingual this year. Note that I have contacts for the technical infrastructure required to do provide simultaneous translation... the challenge might be to find people able and willing to translate Drupal-speak.

I agree that we need to make a stronger effort with translation.

Doing a Friday and Saturday event would be possible only of McGill have all the rooms available. I am sure we would have plenty of rooms available during the summer... As for October, that may be very hard to obtain. We shall see.

But it is a very good suggestion.

If the rooms are not available during the day Friday, we might consider starting the camp Friday night at 7pm. That would compress all the time and have a shorter Camp; one day and a half.

As for translation, are there any service providers that we know about? I am not familiar with translation services.

I can't make the meetup next week but anything after the 25th I can make with a bit of notice.
