I hope you are all enjoying a well-deserved break from Drupal events this week. However, we are in the process of encoding all the sessions and should be done by this time next week. We now have to discuss how the DrupalCamp website will transform into a permanent presence for DrupalCampMontreal sessions, how this will be made accessible and marketed, how the videos will be hosted, and what to do with the windfall revenue from our sponsors in order to give more value to their sponsorships.
I therefore invite all the DrupalCamp sponsors and volunteers to take part in a meeting to be announced later where the structure of the permanent DrupalCamp will be decided. The sooner this can be done, the sooner we can put all the sessions up on the site.
In addition, I've offered to Antoine Beaupré (anarcat) to come reshoot his demo of Aegir. If anyone ran into technical difficulties during their presentations, the same offer is extended.

It was awesome btw that the sessions were recorded (and are now being turned into videos we can watch later). Thanks heaps for doing that guys!
I had an awesome DrupalCamp - until I got sick :(

I'm in.
Sounds good. I think we should schedule this for mid-next week. We should also send out a survey to get feedback on the camp - sooner would be better than later.
Too soon!
I'm still busy collecting sponsorship and cutting cheques. How about the week after instead? How does November 8th/9th sound?

I'm game for the 8th or 9th of November.

Can someone offer up a space to meet? Worst case scenario I can book a 'cyber pod' her at McGill.
Evolving Web to the rescue!
We would be ready to host the meeting on Monday, November 8th at 18:00, provided that works for everyone?
Sure, that's ok for me. So

I won't be able to attend tonight. A friend of mine has died yesterday, I need to help the family get everything in order. If you have any question regarding the hosting or the website itself, you can still e-mail me at lefebvrepp@quiboweb.com

A Recap of last night's meeting
Last night's meeting had an unfortunately low attendance. As a result many questions were raised that couldn't be appropriately answered without input from a larger segment of our local Drupal community.
I'll post my notes and recollections here--much of it's from memory so please correct me if I'm mistaken about anything. It's been proposed that another meeting be held near the end of November to address these outstanding questions. I'm thinking that Wednesday the 24th might be a good date--please provide feedback. We're looking for an appropriate meeting place so feel free to volunteer a facility if you have one.

Survey
Q: Should a survey be sent out to this year's attendees?
A: Yes. Agreed by all--Daniele to send this week.
Thank You Cards
Q: Have thank you cards been sent out?
Simone: Simone will send them out tomorrow.
Money
Q: Where do we sit financially?
Ryan: We will likely have between $4600 and $4700 left over after all expenses have been paid and sponsorships have been collected.
Q: Where should this money be held for the foreseeable future?
Alex: It could possibly be kept for us by the Drupal Association if they opened up a Canadian funds account.
Ryan: It could potentially be held by a local non-profit organization such as Koumbit.
Andrew: An OSBL or similar organization could be formed to specifically handle finances for the local Drupal community. This is potentially a lengthy process (it took over six months in Andrew's experience with Foulab) and may not provide an immediate solution.
A: No decision should be made without better representation from the local community present.
Q: How should the money be spent?
Andrew: We should hold all of the money in reserve until we have facilities secured for next year's event.
Mathieu: A small portion of the money could be used to purchase scalable hosting for video content.
Ryan: $500 dollars or so could be put towards a codes sprint in the spring.
Ryan: We should keep money in reserve to help cover expenses for keynote speakers for next year.
A: No decision should be made without better representation from the local community present.
Video
Q: Where should the video be hosted?
Ryan: Vimeo to insure remains online despite changes in the local community
Mathieu: Amazon with paid support from local community. DBN to provide proposal at next meeting.
Alex: Perhaps with Acquia
A: No decision should be made without better representation from the local community present.
Q: Should we consider having advertising attached to videos that is not baked in to the videos themselves?
Mathieu: This offers more value to the sponsors.
Andrew: Thsi wasn't part of the original sponsorship deal and seems unnecessarily complicated.
A: No decision should be made without better representation from the local community present.
Next Year's Camp
Q: Should the event be held at McGill again next year?
Andrew: Moving the event to a French institution next year would allow us to be more inclusive but would require significant commitment from a French institution. If we decide to go with McGill again we should secure a date and facilities as soon as possible. Thew sooner we do this, the better our chances are of getting a good deal.
A: No decision should be made without better representation from the local community present.
Q: Should we look at moving the date next year?
Alex: Spring might be better.
Andrew: September would be better weather than October.
A: No decision should be made without better representation from the local community present.
Q: Should we look at making DrupalCamp a for profit event?
A: A resounding no.
Q: How can we improve our camp organization next year?
Mathieu: Have a single person in a leadership position.
Andrew: Continuing to organize as a group but allow individual organizations to take on and have control over larger tasks. Example: a design house takes on the website design, config and hosting and has final say over the design based on some brief initial specifications set by the larger community.
Hey guys, Thanks for
Hey guys,
Thanks for discussing all these issues in length even though there weren't enough people to properly make a decision. I wasn't clear if you guys were planning on sending out a survey to poll people on these ideas.
I certainly would be in more favour of putting our videos on Vimeo and then using the extra money that we have for a code sprint next year or something to that effect.
Personally, I'm not a huge fan of advertisements across videos as I think they really obstruct the message. People will see who helped pay for things with the sponsors on the side of the DrupalCamp site.
Peace
