DrupalCampLA 2008 Still Needs Sponsors

Hi folks,

With DrupalCampLA drawing (very) close and a fantastic showing of attendees (225 as I write this), we are finding ourselves in a bit of a budget crunch.

We agreed to the offer to host DrupalCampLA at the LA Convention Center on the conditions that costs would be kept low and we would have wireless internet access available to us. We also had to give up the ability to serve food as we did last year.

Unfortunately, due to a misunderstanding between our contact for the LACC and the city's contracted internet provider, the costs for providing internet access are much higher than budgeted for, which means we are left with the choice between exhausting (and overreaching) our budget in order to provide access or passing along more fees to our attendees.

We are trying to strike a balance by buying a smaller number of connected IPs and asking people to share them, not connect their iphones, and use their evdo cards, etc. wherever possible. People who want a dedicated connection (or are willing to buy one to spare the community block), can do so for $12.95/day. The costs currently look like this:

  • 100 Connected Users: $2590 (plus tax)
  • 125 Connected Users: $3237.50 (plus tax)
  • 150 Connected Users: $3885 (plus tax)
  • 200 Connected Users: $5180 (plus tax)

Our other camp expenses include:
* Insurance - $150
* General supplies (tape, name badges, pens) - $200
* Signage/Printing - $200

With the block of 125 IPs, that puts our overall camp budget at just over $4000. We are currently about $1000 short of this goal. If we can't meet this goal, we will be forced to lower what we can provide, but we are really hoping to keep this event as accessible as possible for everyone.

If you can possibly contribute, we would greatly appreciate it. We are also working on getting a custom splash page for the wireless connection at the event to recognize the sponsors who made it happen, in addition to our other signage.

In IRC today we talked about getting some small stickers with association membership badges on them to put on people's name tags if they are drupal association members. Is this something you can print? It'd probably just be a page or two of small stickers.

If its something you can do: GREAT! If not, is there a place online we could order a few from or maybe its something someone can just print out on some like sticker printing paper or something.

was just getting ready to call about this. can't imagine we'd need more than 25-50. small stickers about the size of a quarter (or less) that can be put on badges.

if I had a color printer I'd attempt it...

What we'll be needing is the main track signage, one main sign to show people where the event is, and a bunch of small signs for directionals.

I was planning on:

  • One 24x36 mounted on foamboard (or anything sturdy) - Main "Welcome to DrupalCampLA" sign
  • Four 18X24 Track Signs (can be mounted or not)
  • Around 20 8.5x11 prints that we can put arrows on to direct people to the camp, to restrooms, etc

We also need to take care of the namebadges, which could either be printed stickers or stiffer paper to go in the plastic sleeves with lanyards (though that option is much more expensive - esp for the number of people we have attending).

We'll have the designs for these shortly. Please let me know if you're still interested in proceeding.

Alternative Internet Access

Hello all,

Known Element Enterprises would like to assist with your internet access requirements next week at the convention center. We are happy to provide a mesh router setup (3 routers) free of charge for the weekend if you provide the back haul.

One possible back haul option is http://www.smartcity.com/orders/pricing.asp?facility=005

It's pricey but cheaper then the current option and gives you a much higher quality connection.

Your best bet for a high-res druplicon would be the vector image on this page: http://drupal.org/node/9068

Since it's vector, it'll scale to astronomical sizes without any distortion... :) (Although I haven't actually tried printing a banner to reach the moon yet, if I did I'd probably use a vector design.)

Signage and Name Badges

Thanks for doing these, but I think we wanted to stick with the camp graphics, more along the style of the DrupalCampLA site. Due to the fact that we'll be shifting the talks quite a bit, we really can't list the sessions out, though we will have them listed on a large schedule board at the event. (Maybe we could talk about printing one of those?)

I can get you full graphics tonight as an EPS file, if that's ok.

As for the name badges, I can get you names and a template style. Are we doing two sets (one per day of the camp) on sticky badges? We could get the plastic sleeve and lanyard style, but those are pretty pricey.
